About The Position

The Old Globe is seeking an Artistic Assistant to support the Artistic and New Plays departments. This role supports the full lifecycle of productions and artistic development at the Globe, connecting artists, administrators, and projects across mainstage productions, workshops, readings, tours, and new play initiatives. Working closely with the Associate Artistic Director and Artistic team, the Artistic Assistant ensures that the systems behind the art run smoothly by managing logistics, supporting casting and artist relationships, and helping shepherd projects from early development through production.

Responsibilities

  • Maintain and update the Artistic department calendar across productions, workshops, and events.
  • Coordinate scheduling for auditions, season planning, and departmental meetings.
  • Arrange meetings between artistic staff and visiting or resident artists.
  • Track deadlines and ensure alignment across multiple concurrent projects.
  • Support all casting processes, including scheduling, audition coordination, and materials preparation.
  • Manage artist availability (actors, designers, and creatives) and draft offer sheets with oversight from the artistic team.
  • Draft and post casting notices.
  • Maintain and update databases of local actors and creative candidates.
  • Coordinate communication between Artistic and Company Management for workshops and special projects.
  • Maintain the script submission database and log incoming materials.
  • Coordinate script reader assignments and onboarding.
  • Track and process reader invoices to ensure timely payment.
  • Coordinate invitations, RSVPs, and ticketing for artistic events, including workshops and opening nights.
  • Support visiting and resident artists with logistics and communications.
  • Prepare opening night materials (event sheets, gifts, and related details).
  • Assist with Humanities events and related programming.
  • Write First Preview synopses.
  • Support program and dramaturgical content by coordinating deadlines, payments, and material distribution.
  • Review materials for accuracy of artist and production information.
  • Process invoices and track payments for vendors, artists, and contractors.
  • Draft Letters of Agreement (LOAs) in coordination with General Management and Product.
  • Maintain departmental files, records, and project documentation.
  • Support grant reporting and data collection related to artistic programming.
  • Liaise with MFA program staff and students.
  • Represent the organization at readings, showcases, and community events as needed.
  • Track and share local productions of interest to Artistic leadership.
