About The Position

Under the direction of the Archivist, the Archives Planning Assistant will research and prepare an Assessment and Planning Report on the Mohonk Mountain House archival collections. This 500-hour project culminates in a comprehensive written report due in March 2027. Work begins with a thorough evaluation of existing facilities and materials, including documents, maps, photographs, audiovisual and digital materials, historical records, and objects. Research, recommendations for future planning, and report preparation will be conducted under the Archivist’s guidance.

Requirements

  • At least 18 years of age.
  • Knowledge of archival preservation and standards for the organization of information.

Responsibilities

  • Evaluate archival and museum collection materials for condition, completeness, and historical significance.
  • Research, draft, proofread, and edit formal correspondence, reports, and other written materials for internal and external circulation.
  • Organize and prioritize work independently, while collaborating effectively as part of a team.
  • Meet deadlines and work efficiently under pressure.
  • Maintain accuracy, attention to detail, and consistency in all tasks.
  • Assist with special projects, administrative support, and clerical duties as needed.
  • Respond to phone inquiries and retrieve messages professionally.
  • Work extended periods using a computer, including viewing a monitor and operating a keyboard.
  • Follow archival best practices, handling materials carefully to prevent damage or deterioration.
  • Maintain accurate records of research, findings, and collection evaluations.
  • Assist in preparing reports, recommendations, or presentations for management or external stakeholders.
  • Support the Archivist in planning for future archival needs, including storage, preservation, and digitization initiatives.
  • Perform basic mathematical skills including addition, subtraction, multiplication, division.
  • Demonstrate proficiency with Windows-based operating systems and use software including Microsoft Office suite, PastPerfect.
  • Demonstrate organizational skills, proofreading skills, and produce well-written, error-free copies.
  • Adhere to Mohonk Mountain House’s Dress and Grooming Standards; presenting a neat, clean and well-groomed appearance and maintaining a positive, professional image to our customers.
  • Learn and successfully demonstrate the Mohonk Mountain House Service Steps with Service Strategies with guests and staff.
  • Learn and retain knowledge of historical facts and information about Mohonk Mountain House.
  • Maintain a flexible work schedule including holidays and weekends as needed.
  • Inspect work by touch, sight, sound and smell for conformance to prescribed standards.
  • Speak, read and write the English language and communicate in a clear and congenial manner, with our guests, visitors and employees.
  • Hear verbal instructions, directions and warnings.
  • Reach with hands and arms, bend, kneel, stoop, twist and flex arms, walk up and down stairs/inclines, stand, climb up/down ladders or sit for up to 5 hours at a time.
  • Lift up to 20 pounds from ground level to waist and carry a distance of up to 25 feet with/ without assistance.
  • Walk up to 2 miles per day.
  • See close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
  • Work in environments where dust or particulate matter may be present.
  • Act calmly and effectively in emergency situations.
