The Archive Records Specialist prepares inactive Office of Defense Trade Controls Compliance (PM/DTCC) records for transfer to the archives in accordance with the office’s Archives Record Procedures. The role assembles archive boxes, transfers files from office shelving to a preparation workstation, removes fasteners and annotations, and moves records into new folders. The specialist labels folders with company names and the last year of records, fits companies into folders as efficiently as possible, and packs boxes with folders facing the front and three-finger spacing, avoiding overcrowding. The specialist creates and maintains a MANIFEST spreadsheet listing each box’s contents and works with the PM/DTCM Records Management Analyst to quality-check every box. Folder contents, company codes, and names must match the manifest and folder labels exactly; errors must be corrected before boxes are sent to storage. The role also coordinates archive pickups with the Records Management Analyst and Archives Management office, helps submit archiving request forms for approval, saves approved forms to the Archives shared folder, and schedules pickup dates and times with archiving support.
