Requirements

  • Accounting/business diploma/certificate or equivalent work experience.
  • Bookkeeping and/or AP/AR-related automation and AI experience preferred.
  • Excellent verbal, written, and interpersonal skills and demonstrated ability to work effectively with others towards a common goal.
  • Ability to work both independently, with little supervision, but willing to ask questions or obtain assistance when needed.
  • Strong organizational skills and ability to plan, prioritize, and work collaboratively to complete multiple projects in a supportive and productive environment
  • Expert knowledge of, or demonstrated ability to quickly become comfortable with, various accounting and payment processing and invoicing tools, especially Xero, QBO, Dext, and payment platforms, is required.
  • Experience with cloud accounting and AP-AR applications and integrations.
  • High degree of proficiency with Microsoft Office programs and/or Google Drive and Docs equivalents required.
  • Proficient with Google Suite of applications, including Gmail.
  • Possess a passion for excellent client services.

Responsibilities

  • AP/AR Services: Thorough knowledge of all accounts payable and accounts receivable functions, including the ability to prepare and reconcile reports. Perform accounting and clerical tasks for the maintenance and processing of AP and AR transactions. Process AP and AR bills and invoices for clients. Reconcile to monthly vendor and customer statements. Monitor bank account balances and initiate transfers where needed. Review transactions for completeness, accuracy and proper authorization. Analyze and reconcile any internal inconsistencies between manual and computerized systems. Prepare expenditure information. Maintain AP and AR tracking sheets and all payment reports. Prepare and process payments based on clients’ individual AP schedules as well as urgent payments as needed. Prepare, process, and track invoicing based on clients’ individual AR schedules Provide timely responses to client questions and manage client expectations. Proactively identify and implement process improvements to meet clients’ specific needs. Identify issues and errors, investigate discrepancies, discuss with Manager to develop solutions. Work with dynamic and growing clients, other related duties may be assigned in support of client needs.
  • Bookkeeping Services: Manage all bookkeeping-related communication between assigned clients and LiveCA team members Maintain, monitor and reconcile GL accounts, including but not limited to cash, bank reconciliations, prepaid expenses, accounts receivable, accounts payable, accrued liabilities and intercompany and POS/system uploads Reconciliation of bank balances and credit card transactions based on the agreed upon timeline Processing of sales and purchase invoices Recording ad hoc adjusting entries on a regular basis Collecting information, reports, and statements relevant to the client bookkeeping from various systems, banks, and applications, with a high degree of sensitivity to client data safety and privacy GST/HST spreadsheet tracking and filings, prepaids and deferred revenue spreadsheet management, OSI building and client responsibility oversight Prepare the month end in a timely manner. Provide timely responses to client questions and manage client expectations Proactively identify and implement process improvements to meet clients’ specific needs Identify issues and errors, investigate discrepancies, discuss with Manager to develop solutions Work with dynamic and growing clients, other related duties may be assigned in support of client needs.
  • Additional Responsibilities: Contribute to developing and improving AP, AR, and bookkeeping procedures and policies Provide vacation and other short-term leave work coverage for colleagues, as directed by the Manager. Provide support to other AP/AR and Bookkeeping Specialists in areas such as software, workflows, and technical accounting, finance, and tax related to bookkeeping and AP/AR. Contribute to innovation, which may include initiating process improvement, documenting new or updated procedures, developing standardized templates and collaborating with the larger team on such initiatives. Support in onboarding new clients, including documenting client-specific procedures. Complete system set ups, reviews, and conversions as needed.
