About The Position

We are a growing, multi-entity organization with operations spanning real estate, orthodontics, consulting, aviation, firearms, marketing, and more. We're looking for a motivated, people-oriented AP/AR & Administrative Coordinator to join our accounting team — no prior experience in every area required. If you're organized, eager to learn, and take pride in getting details right, we'll help you grow the rest. This is a great opportunity for someone early in their accounting or administrative career. You'll support payables and receivables, help keep records organized, and serve as a friendly, professional presence at our front office — greeting guests, answering phones, and helping the day run smoothly. Requirements

  • Some experience or coursework in accounting, bookkeeping, or office administration — even basic is fine.
  • Comfortable using Microsoft Excel and general office software (Outlook, Word, etc.).
  • Strong attention to detail — you double-check your work and take accuracy seriously.
  • Good communication skills and a friendly, professional attitude with guests, vendors, and coworkers.
  • Reliable, organized, and able to manage recurring tasks and deadlines.
  • Willingness to pitch in across both accounting and front-office duties.

Nice To Haves

  • Any prior experience with AP, AR, or general accounting support.
  • Familiarity with QuickBooks or similar accounting software.
  • Associate's or Bachelor's degree in Accounting, Business, or a related field — or currently pursuing one.
  • Experience in an office with multiple departments or business lines.

Responsibilities

  • Help maintain vendor records and assist with onboarding new vendors.
  • Enter and process vendor invoices with proper coding and routing for approval.
  • Assist with preparing and processing payment runs.
  • Help research and resolve invoice or payment questions.
  • Respond to vendor and internal inquiries in a professional, helpful manner.
  • Prepare and send out customer invoices across multiple entities.
  • Record incoming payments and help match them to the correct accounts.
  • Assist with reviewing outstanding balances and following up with customers as needed.
  • Work with internal teams to correct any billing issues or discrepancies.
  • Assist with monthly bank and account reconciliations.
  • Support journal entries and month-end closing tasks under the guidance of senior team members.
  • Help gather supporting schedules and documentation for reporting.
  • Greet visitors and answer incoming calls in a warm, professional manner.
  • Maintain organized digital and physical filing systems for accounting and office records.
  • Help coordinate mail, deliveries, and general front office upkeep.
  • Assist with audit preparation and documentation as directed.
  • Provide day-to-day administrative support to the Finance Director and accounting team.
