About The Position

The Alumni Coordinator performs work in building, planning, and implementing all aspects of the ICP Alumni program, whose goal it is to strengthen alumni relations and sense of community, increasing the visibility of ICP alumni, aid in the recruitment of new One-Year Certificate (OYC) program students, and increase support of ICP through philanthropy , membership, volunteer leadership, and long term engagement. Working closely with the Development team, the Alumni Coordinator will help cultivate lifelong relationships with alumni as future donors, advocates, mentors, and institutional ambassadors. The Alumni Coordinator will cultivate and strengthen ICP’s Full-Time Program alumni relationships both locally and internationally, by coordinating alumni-related communication, organizing events and coordinating the activities of Alumni ambassadors.

Requirements

  • Bachelor's degree preferred.
  • Minimum of three years of office administration experience, preferably within an educational or arts education environment.
  • Strong computer skills, including proficiency in the Microsoft Office Suite, with advanced Excel skills preferred; experience with ACEware or similar database systems is a plus.
  • Excellent organizational, time management, and project management skills, with exceptional attention to detail and follow-through.
  • Demonstrated ability to manage multiple priorities and work effectively in a fast-paced environment.
  • Excellent written, verbal, and interpersonal communication skills.
  • Commitment to providing outstanding service and support to students, faculty, and community members.
  • Ability to work both independently and collaboratively within a team environment.
  • Experience working with and supporting diverse faculty, student, and public audiences.

Responsibilities

  • Develop and implement a dynamic range of alumni programs that reflect ICP’s strengths and respond to evolving alumni interests.
  • Plan and execute events, gatherings, and initiatives that foster meaningful connections among alumni across programs, classes, and geographies.
  • Partner with the Development team to plan and execute alumni engagement opportunities during major institutional events, including Arles, Paris Photo, AIPAD, exhibition openings, and other donor cultivation gatherings.
  • Build and maintain relationships with a diverse global alumni network.
  • Recruit, engage, and support alumni for events, mentorship, and institutional initiatives.
  • Coordinate alumni benefits, including facility access and program offerings, in collaboration with the Education team.
  • Educate graduating students about alumni opportunities and maintain engagement post-graduation.
  • Identify highly engaged alumni with leadership and philanthropic potential and connect them with the Development team for appropriate cultivation.
  • Serve as the primary liaison for OYC alumni and the ICP Alumni Committee, ensuring timely response to inquiries and ongoing engagement.
  • Manage alumni communications, including regular updates on events, program information, and institutional announcements via email, newsletter and shared inbox.
  • Partner with Marketing and Communications to develop and execute a strategic alumni communications plan across digital and print platforms.
  • Generate and curate alumni content, including news, achievements, and features, for ICP’s website, social media, and other channels.
  • Support OYC student recruitment efforts by activating alumni participation at events such as open houses, information sessions, accepted student day, festivals, and conferences.
  • Coordinate alumni ambassador activities that support ICP’s domestic and international presence, including exhibitions, photo festivals, and educational partnerships.
  • Encourage alumni to refer applicants to the OYC programs through various incentivised initiatives
  • Develop communications that highlight alumni achievements while promoting ICP exhibitions, educational programs, fundraising initiatives, and opportunities for alumni engagement.
  • Maintain accurate and up-to-date alumni records in the database, including contact information, professional accomplishments, engagement history, philanthropic interests, and relationship notes to support institutional engagement strategies.
  • Define and track key performance indicators for alumni engagement and program success.
  • Use data-driven insights to inform strategy and improve outcomes.
  • Conduct a monthly review of the alumni database with the Development team to identify engaged alumni with philanthropic potential and recommend prospects for qualification and movement into the Development pipeline.
  • Collaborate with the Development team to reimagine and strengthen ICP's alumni membership program, developing engagement opportunities and benefits that increase participation, retention, and philanthropic support.
  • Partner with the Development team to conduct monthly prospect review meetings to evaluate alumni engagement and identify prospects for movement into the fundraising pipeline.
  • Identify, qualify, and refer alumni with philanthropic capacity or strategic influence for appropriate cultivation by the Development team.
  • Provide one on one admission consultation support to prospective students as needed.
  • Collaborate with the OYC and Marketing teams to develop recruitment content, including alumni testimonials through surveys, focus groups, and audio/video interviews.
  • Participate in OYC-related departmental meetings, including Development, Marketing, and Student Representative meetings, as needed.
  • Provide ICP campus tours for prospective students as needed.
  • Support planning and delivery of key OYC and alumni programs, including Orientation, End-of-Year activities (graduation exhibition opening, commencement, portfolio review day), Alumni Mixer, Living Room, and Summer Lab Access Program.
  • Produce alumni verification documentation, including verification of completion, duplicate certificates, and official/unofficial transcripts, as well as alumni IDs.
  • Process and track alumni-related payments, including guest speaker honorariums and related requests.
  • Support annual proofreading and updates of the OYC Student Handbook in collaboration with the OYC team, ensuring accuracy and alignment with alumni access and benefits.
  • Coordinate alumni access to ICP resources and benefits, including facilities access, course registration, and re-enrollment for returning students.
