About The Position

Under general supervision, function as a receptionist to those coming in contact with the college including assisting student inquiries and provide secretarial support to full or part-time faculty. Provides customer service to all students in all Allied Health programs. Full-time positions at Clovis Community College are not remote positions and require a physical presence on campus to fulfill duties and college-related responsibilities.

Requirements

  • Proficiency with Microsoft operating systems, Microsoft Office, and Excel.
  • The ability to work effectively in a fast paced, stressful, front-line customer support environment.
  • Exceptional people management skills.
  • Must have the ability to interface and communicate effectively with non-technical personnel, administrative users, staff and faculty as well as with the technical staff.
  • Must possess excellent attention to detail.
  • Must be flexible and open to new opportunities as the different programs make changes.
  • Excellent oral and written communication skills.
  • Requires frequent and continuous sitting/moving about, continuous use of fine motor skills, and pushing and pulling of up to 20 lbs.
  • High School diploma or equivalent
  • Knowledge of standard office practices
  • Ability to maintain confidential records and handle sensitive information.

Nice To Haves

  • Associate’s degree and one year of experience in office management or related field is preferred.
  • Experience may be substituted for education on a year for year basis.

Responsibilities

  • Perform a variety of clerical and administrative activities in support of the Allied Health faculty, including but not limited to processing requisitions, scheduling appointments, recording meeting minutes, and mailings as needed.
  • Serve as the initial point of contact for students, faculty, clinical partners, and the public by providing information and administrative support.
  • Monitor and maintain departmental purchasing activities, inventory, and office supplies in accordance with institutional policies.
  • Maintain accurate records and databases related to student documentation, accreditation requirements, and departmental operations as required.
  • Collaborate with the Allied Health Clinical Compliance Officer to facilitate the collection, verification, and maintenance of student clinical compliance documentation, ensuring accuracy, completeness, and adherence to institutional and regulatory requirements.
  • Operate and maintain office equipment, including computers, phone systems, copiers, printers, scanners, and other technology necessary to support daily departmental operations, while efficient workflow.
  • Collaborate with Allied Health program faculty and staff in coordinating the pinning ceremonies each semester, ensuring all logistical and administrative requirements are met.
  • Perform other duties as assigned.
