About The Position

XSTAR Aviation is seeking an Aircrew Training & Compliance Manager to manage the integrated aircrew training pipeline, training records, qualification tracking, and Electronic Flight Bag (EFB) program for B-1 aircrew qualification and currency training at Dyess AFB and Ellsworth AFB. This role is crucial for maintaining pilot qualification, currency, and training readiness status, working closely with the Flight Operations & Scheduling Manager. The position requires strong organizational skills, attention to detail, and the ability to manage multiple regulatory and training systems within a dynamic operations team.

Requirements

  • 2–3 years of aviation training coordination, pilot pipeline management, or flight operations experience
  • Demonstrated ability to read and interpret an aircraft sortie schedule and understand maintenance/availability impacts on training planning
  • Proficiency with scheduling tools, databases, and spreadsheet applications; comfortable learning new software
  • Clear written and verbal communication; able to interface professionally with military officers, USAF liaisons, and contractor management
  • Willingness and eligibility to obtain DoD Secret clearance, TSA Authorized Signatory certification, CHRC, and STA
  • Valid driver's license
  • Schedule flexibility to support training events including occasional extended hours
  • U.S. Citizen required

Responsibilities

  • Manage the integrated aircrew training pipeline, from prerequisites through qualification and continuation training.
  • Serve as the sole stakeholder for BSTAR gradebook creation, maintenance, updates, and final product management.
  • Manage the military logbook program and aircrew currency tracking system for all USAF and contractor pilots.
  • Track pilot qualifications, certifications, and training milestones, providing readiness status updates.
  • Coordinate pilot pre-entry requirements, FAA medicals, written examinations, FlightSafety enrollment, simulator scheduling, and certification activities.
  • Maintain qualification and currency records for contractor and USAF aircrew.
  • Conduct routine audits of training records, gradebooks, and qualification documentation.
  • Track and report training throughput, qualification progression, and readiness metrics to leadership and government stakeholders.
  • Own the contractor pilot currency program and continuation training program.
  • Track FAA, company, and contract-specific training requirements and expiration dates.
  • Schedule annual recurrent training, FlightSafety events, FAA checkrides, and other required qualification activities.
  • Provide advance notification of upcoming expirations and coordinate corrective actions.
  • Verify aircrew qualification status and provide currency information for schedule development.
  • Maintain visibility of projected qualification shortfalls and develop mitigation recommendations.
  • Manage EFB configuration, deployment, and lifecycle management for all aircrew devices.
  • Administer software licenses and subscriptions for operational systems like ForeFlight, HondaJet Connect, CAMP, and Polaris.
  • Maintain device inventory and software compliance.
  • Provide first-line technical support for EFB and aircrew software systems.
  • Coordinate software renewals, vendor support, and system updates.
  • Track medical expirations for all pilots and provide advance notification.
  • Verify medical qualification status with USAF for training and flight operations.
  • Provide operational support to other site functions during absences or surge operations.
  • Maintain familiarity with the responsibilities of the Flight Operations & Scheduling Manager and Operations Coordinator for continuity.
  • Support execution of critical recurring reports, training events, and customer communications when primary office holders are unavailable.
  • Participate in cross-training activities to ensure resilient operations.
  • Perform other duties as assigned.
