About The Position

This role is responsible for handling air export and import shipments from start to finish. The clerk will manage bookings, documentation, tracking, and final delivery, while coordinating with various stakeholders including customers, airlines, overseas offices/agents, truckers, warehouses, and customs brokers. The position requires meticulous preparation and verification of shipping documents, arrangement of logistics for export shipments, and proactive monitoring of flight schedules and cargo status. For imports, the clerk will handle pre-alerts, arrival notices, cargo releases, and delivery arrangements, ensuring timely customs clearance. Compliance with regulations such as TSA/IAC, dangerous goods, airline rules, and company SOPs is essential. The role also involves reviewing freight rates, ensuring accurate billing and profitability, identifying and resolving operational issues, maintaining shipment records, and communicating proactively with customers and internal teams. The Air Export & Import Clerk will perform other airfreight operational duties as assigned by management.

Requirements

Responsibilities

  • Handle air export and import shipments from start to finish, including booking, documentation, tracking, and final delivery.
  • Coordinate with customers, airlines, overseas offices/agents, truckers, warehouses, and customs brokers.
  • Prepare and verify MAWB, HAWB, commercial invoices, packing lists, SLI, and other shipping documents.
  • Arrange airline bookings, cargo pickup, warehouse delivery, and airport transfers for export shipments.
  • Monitor flight schedules, cargo status, and connections and provide timely shipment updates to customers.
  • Handle import pre-alerts, arrival notices, cargo releases, delivery orders, and final delivery arrangements.
  • Coordinate with customs brokers to ensure timely customs clearance and provide required documentation.
  • Ensure shipments comply with TSA/IAC requirements, dangerous-goods requirements when applicable, airline regulations, and company SOPs.
  • Review freight rates and applicable charges and ensure accurate billing, cost entry, and shipment profitability.
  • Identify and resolve delays, damages, documentation discrepancies, customs issues, and other operational problems.
  • Maintain accurate shipment records and ensure all required documents are properly filed in the operating system.
  • Communicate proactively with customers regarding delays, exceptions, and other shipment-related issues.
  • Work closely with the sales and customer service teams to provide operational support and maintain customer satisfaction.
  • Perform other airfreight operational duties as assigned by the OP manager or branch manager.
