About The Position

Richman Property Services is currently seeking a full-time AI Implementation Specialist II to join our dynamic IT team. This is a hands-on implementation role focused on turning business needs into practical, safe, and supportable AI-enabled workflows. The role involves writing and modifying automation logic, integrating systems through APIs, testing outputs, and documenting processes for the broader IT team. It operates under the direction of IT leadership on an approved roadmap and is not a management or isolated architect role.

Requirements

  • Anthropic Claude API or comparable LLM API: prompt design, tool/function definitions, output testing (required)
  • n8n or comparable automation platform such as Zapier, Make, or Power Automate (required)
  • Zendesk administration: triggers, automations, webhooks, API integration, reporting (required)
  • AWS working knowledge: EC2, S3, IAM, Lambda, and CloudWatch (required)
  • Linux command line: files and permissions, services, logs, SSH, scheduled jobs (required)
  • Git and Jira: version control, code review, and all work planned, tracked, and closed with linked documentation (required)
  • Able to read, modify, and troubleshoot Python or JavaScript/Node without depending on someone else to change code (required)
  • Practical understanding of REST APIs, JSON, webhooks, and API authentication (keys, tokens, OAuth)
  • Clear written English; documentation quality is a graded part of this role
  • Sound judgment with confidential data, including HR, payroll, resident, and PII records

Nice To Haves

  • Pinecone or comparable vector database and retrieval-augmented generation (preferred)
  • Microsoft Entra ID administration, Graph API, SSO, and automated provisioning (preferred)
  • Yardi Voyager data structures and reporting (preferred)
  • Supporting exposure to SharePoint, Microsoft 365, and camera/NVR systems (preferred)
  • Property management, multifamily, or affordable housing industry experience (preferred)

Responsibilities

  • Build, test, document, and improve our internal AI assistant and related tools, including prompt and retrieval logic against our vector knowledge base, response testing before release, knowledge-source maintenance, and converting user feedback into tracked Jira issues.
  • Build and support AI and integration workflows in n8n connecting Claude, Zendesk, Yardi data, Entra ID, SharePoint, and other approved systems. Write and modify supporting scripts and API integrations, design for failure with error branches and safe fallbacks, and test in a non-production path before touching live data.
  • Keep every system supportable by the broader IT team. Commit code, prompts, and exported workflow definitions to Git with meaningful history, maintain runbooks and workflow diagrams, and document escalation steps, support procedures, and end-user instructions.
  • Support IT leadership in responsible AI use by testing PII, HR, payroll, and confidential-data guardrails, enforcing least-privilege access, managing secrets and credentials properly, and reporting unsafe outputs or scope creep immediately.
  • Work directly with departments to understand how AI tools are used and where they fall short, translate needs into clear technical requirements, and support training, adoption, and onboarding for new AI-enabled processes.
  • Assist with documentation, testing, and improvement of operational automations, including camera/NVR and dispatch workflows, tracking failures and driving down false positives.
