About The Position

We are looking for an organized, proactive, and solution-oriented individual to support the coordination of internal operations that drive the employee experience on a daily basis. In this role, you will be responsible for the logistics and execution of three key pillars: corporate travel, internal events, and promotional items management. You will play a central role in ensuring everything runs smoothly, efficiently, and in a well-coordinated way, both for planned activities and unexpected situations. You will work closely with multiple internal teams and external partners to ensure a consistent, well-orchestrated experience aligned with the organization’s needs. This role is ideal for someone who enjoys moving from planning to execution, manages multiple priorities well, and is motivated by continuously improving processes.

Requirements

  • Minimum of 3 years of experience in event coordination, administration, logistics, or corporate travel
  • Strong organizational skills and ability to manage multiple priorities
  • High attention to detail and strong rigor
  • Excellent communication skills
  • Collaborative mindset and strong service orientation
  • Autonomous, resourceful, and proactive
  • Ability to handle unexpected situations calmly and effectively
  • Proficiency in Microsoft Office Suite and collaboration tools
  • Bilingual in French and English

Responsibilities

  • Act as the main point of contact with the travel agency
  • Organize corporate travel (flights, hotels, and transportation) with the support of the travel agency
  • Ensure compliance with internal policies and budgets
  • Manage changes and unexpected travel issues
  • Produce reports and analyze trends to optimize travel practices
  • Plan and coordinate internal events (corporate and social events)
  • Manage logistics, timelines, and budgets
  • Coordinate with vendors and internal teams
  • Prepare necessary materials (agendas, attendee lists, communications)
  • Provide operational support during events
  • Conduct post-event follow-ups and suggest improvements
  • Manage inventory of promotional items
  • Coordinate orders, suppliers, and deliveries
  • Prepare shipments for employees, clients, and events
  • Collaborate with internal teams to identify needs
  • Track budgets and timelines
  • Propose new branded products aligned with the brand
  • Maintain inventory reports and improve processes
