Under the responsibility of the functional manager, the incumbent ensures the smooth operation of the Employment Services resource and information component. The position consists of welcoming and supporting all individuals who come to the resource center. The incumbent contributes to the smooth operation of the office by ensuring reception and performing assigned office tasks. They support clients by performing an initial triage and directing them to the more structured components of Employment Services or to other programs and services offered in the community.

Requirements

  • 2-year studies leading to a diploma or equivalent in office administration practices, Business administration practices.
  • Minimum of one year of relevant experience
  • Excellent oral and written communication skills in French and English;
  • Excellent knowledge of word processing software (Word), spreadsheet (Excel), presentation (PowerPoint), database (SharePoint, Access) and email (Outlook) software, as well as the Internet;
  • Work experience with people from diverse backgrounds;
  • Experience in conflict resolution;
  • Experience in the field of employability and knowledge of labor market trends;
  • Experience in developing, modifying, and facilitating workshops or information sessions for the community and clients;
  • Experience using a computer, software, the Internet, research tools, and office equipment (telephone, photocopier, fax machine, etc.);
  • Excellent knowledge of community services.

Responsibilities

  • Welcome individuals who come to the resource center; direct them to Employment Services as well as other programs and services offered in the community.
  • Schedule appointments with consultation and employment prospecting staff; prepare information kits and help clients fill out required forms.
  • Provide clients with information on employability-related services; direct them to the appropriate tools and resources at the resource center.
  • Ensure the smooth operation of the resource center's tools as well as the acquisition and management of the required material inventory.
  • Support consultation and employment prospecting staff in client management, particularly for appointment scheduling and reminders.
  • Perform office tasks, including layout and photocopying; sort and distribute mail and prepare service mailings; make purchases at the request of the supervisor and reconcile corresponding reports, as needed; maintain an inventory of office supplies and equipment.
  • Process reimbursements by ensuring data entry, verification, and follow-up in various systems, in response to service and client requests.
  • Enter data into the funder's information systems as well as required internal and external systems; prepare reports related to services offered at the request of supervisory staff.
  • Prepare and maintain job posting boards; post new items and resources on the program's website and social media.
  • Lead various interactive workshops at the resource center and provide technical advice on job search-related topics.
  • Achieve prescribed objectives and promote employability programs and services within the scope of responsibilities to encourage clients to enroll in employment programs.
  • Participate, at the request of the manager, in employment services promotion events and assist in organizing center events.
  • Provide backup for colleagues in the Employment Services sector to effectively serve clients, especially during peak periods or when replacing absent staff members; participate in the orientation of new staff in the sector.
