We are seeking a detail-oriented and customer-focused Aftermarket Specialist to manage and support our aftermarket parts and service business. This position is responsible for the accurate and timely entry, processing, and management of aftermarket orders within SAP, while coordinating customer inquiries, quotations, spare parts requirements, warranty claims, returns, and related service needs. The Aftermarket Specialist will serve as a key point of contact for customers and work closely with Sales, Supply Chain, Operations, Logistics, Quality, and Engineering to ensure orders are processed accurately, customer commitments are met, and aftermarket needs are addressed efficiently. Success in this role requires strong SAP and order management capabilities, attention to detail, responsiveness, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

Requirements

  • Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field preferred; equivalent education and relevant experience will be considered.
  • 2–5 years of experience in aftermarket support, customer service, order management, spare parts coordination, inventory management, or a related role preferred.
  • Experience working within an ERP system required; strong SAP ERP experience is highly preferred.
  • Candidates should be comfortable performing frequent order entry, order maintenance, and transactional activities within an ERP environment.
  • Strong proficiency in Microsoft Office, including Excel, Word, and Outlook.
  • Excellent attention to detail and commitment to order and data accuracy.
  • Strong analytical and problem-solving skills.
  • Strong written and verbal communication skills with a customer-service mindset.
  • Ability to manage multiple orders, customer requests, and priorities simultaneously.
  • Ability to work effectively across multiple departments to resolve issues and meet customer commitments.
  • Ability and willingness to travel occasionally to customer and project job sites as business needs require.

Nice To Haves

  • Previous experience with SAP ERP in an order entry, customer service, aftermarket, or order management capacity.
  • Experience in manufacturing, automotive, heavy equipment, industrial machinery, valves/flow control, or the water and wastewater industry.
  • Experience with spare parts, aftermarket sales support, warranty administration, or technical customer service.
  • Knowledge of global shipping, import/export compliance, and customs documentation.

Responsibilities

  • Enter, process, and manage customer aftermarket parts orders accurately and efficiently within SAP.
  • Process and track customer orders, returns, warranty requests, and service-related transactions through completion.
  • Maintain accurate customer, vendor, material master, pricing, and order information within SAP.
  • Monitor open orders, backorders, inventory availability, order fulfillment status, lead times, and delivery commitments.
  • Review orders for accuracy and completeness and proactively address issues that could impact fulfillment.
  • Resolve order blocks, pricing discrepancies, inventory issues, and other SAP-related transactional issues in a timely manner.
  • Maintain accurate documentation and system records throughout the order lifecycle.
  • Serve as a primary point of contact for aftermarket inquiries, quote requests, order placement, and order status updates.
  • Provide customers with timely and accurate information regarding pricing, product availability, lead times, and shipments.
  • Assist customers with identifying appropriate spare and replacement parts, coordinating with Engineering and technical resources when needed.
  • Process and coordinate warranty claims, field returns, and Return Material Authorizations (RMAs) through established SAP workflows.
  • Coordinate with Field Service, Engineering, Quality, and other technical teams to provide timely aftermarket solutions.
  • Track customer issues through resolution and maintain clear communication with customers and internal stakeholders.
  • Occasionally travel to customer or project jobsites to support field service and repair activities, assist with troubleshooting, coordinate replacement parts, and help ensure customer issues are resolved effectively.
  • Work closely with Planning, Purchasing, Warehouse, and Logistics teams to ensure aftermarket orders are fulfilled accurately and on time.
  • Monitor inventory levels and material availability to support customer requirements.
  • Coordinate and expedite urgent customer orders when necessary.
  • Track shipments and communicate delivery and tracking information to customers.
  • Support resolution of inventory discrepancies and other issues affecting aftermarket order fulfillment.
  • Assist with domestic and international shipping requirements, including applicable import/export and customs documentation.
  • Maintain accurate and timely aftermarket records, documentation, and SAP transactions.
  • Monitor aftermarket backlog, open orders, lead times, warranty activity, and other relevant performance measures.
  • Support continuous improvement efforts related to order accuracy, customer response times, order fulfillment, and overall aftermarket processes.
  • Identify recurring order, customer, or process issues and work cross-functionally to support corrective actions and long-term improvements.
  • Prepare reports and analyze aftermarket data as needed to support business and customer requirements.
