About The Position

Reporting directly to the Aftermarket Supervisor, the Aftermarket Parts Coordinator plays an important role within the Aftermarket department by providing efficient administrative and operational support while delivering an exceptional customer experience. In this role, you will be at the heart of our aftermarket operations. You will respond to customer inquiries by phone and email, create and follow up on service tickets, prepare quotes and orders, and work closely with travelling field service technicians and various internal teams. Requirements

  • High school diploma or equivalent.
  • Minimum of 2 years of experience in a similar position, ideally in a customer service, parts, aftermarket service, or coordination environment.
  • Excellent communication skills in both English and French, written and spoken.
  • Strong active listening skills and the ability to understand customer and stakeholder needs.
  • Strong attention to detail and a commitment to accuracy and error-free documentation.
  • Excellent organizational and time management skills, with the ability to prioritize effectively.
  • Ability to manage multiple tasks and meet required deadlines.
  • Reliable, autonomous, and proactive with a strong sense of initiative.
  • Resourceful, positive, and energetic attitude.
  • Flexible and comfortable handling a wide variety of tasks and changing priorities.
  • Ability to work efficiently and expeditiously while maintaining a high level of quality and accuracy.
  • Strong communication and cross-functional coordination skills.
  • Very good knowledge of Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
  • Ability and willingness to learn new software and systems.
  • Team player with the ability to collaborate effectively across departments.

  • Experience using an ERP system is an asset.
  • Knowledge of ACT! and/or QuoteWerks is an asset.

Responsibilities

  • Properly create service tickets in our system and ensure timely follow-up through resolution.
  • Handle incoming calls and emails while providing professional, courteous, and beyond-expectations customer service.
  • Create quotes and orders in the ERP system.
  • Follow up on quote and order status and ensure timely updates.
  • Convert customer requests into potential business opportunities by identifying customer needs and generating new quotes.
  • Prepare shipping orders, including generating order reports and verifying information, shipping codes, customer accounts, and other relevant details.
  • Provide administrative support to travelling field service technicians, including support related to their travel and service activities.
  • Provide backup support to the Aftermarket Service Coordinator as required.
  • Collaborate with Production, Aftermarket Service, Marketing, and other internal stakeholders to meet customer deadlines and commitments.
  • Maintain regular follow-up on orders and provide relevant updates to the Aftermarket Supervisor.
  • Perform various administrative tasks related to Aftermarket department activities.
