About The Position

The Advisor, RES is responsible for service-oriented advising, instructions and guidance to prospective and current students, internal staff, or external parties in registrarial matters in relation to the incumbent's specialized field. This position maintains current knowledge of College registrarial procedures or policies, legislative changes, educational trends and practices in Canada and internationally, in order to provide current and accurate information and advice to current and prospective students. The Advisor relies upon in depth knowledge and broad knowledge of other RES units in order to impart guidance to junior team members in matters of systems, guidelines, or unique circumstance requiring exceptional decision making. Each Advisor may be paired with an Assistant or work within a matrix model whereby s/he leads a particular function, project, or client group. The Advisor coordinates and executes the main activities of the business unit's core function and the development, delivery and maintenance of the unit's processes, procedures, or policies. This position collaborates to coordinate and execute RES changes, events, or projects.

Requirements

  • Successful completion of a two-year diploma or an associate's degree in a related discipline.
  • Four (4) years of related experience in the business area of expertise providing one-on-one consultative support and advising to post-secondary students, preferably in a Registrar's Office.
  • An equivalent combination of experience and education may be considered.
  • Advanced knowledge and experience with an integrated student record system (e.g. Banner).
  • Knowledge of post-secondary policy and procedures, programs and registrarial processes.
  • Knowledge of the BC post-secondary system.
  • Excellent written and verbal communications skills.
  • Excellent ability to pay attention to detail and enter data accurately.
  • Excellent organizational and multi-tasking skills, and ability to set priorities and meet deadlines when encountering conflicting demands, and working under pressure.
  • Demonstrated ability to provide excellent customer service, respond to enquiries and provide information, assistance and related services to the general public, faculty, staff, and students.
  • Ability to investigate and listen in order to solve problems and provide solutions.

Responsibilities

  • Responsible for providing advice to students, staff, or external stakeholders and administers registrarial function of Registrar and Enrolment Services: Provides current and accurate information and advice to assist students to achieve educational goals and enhance services of the unit. The topics vary and could include policies, procedures, requirements and information relating to admissions, programs, registration, records, financial aid, or graduation. Reviews, evaluates, adjudicates, and exercises decisions pertaining to individual or block files/cases. The level of discretionary authority varies and is applied in the context of procedural, practice, or guideline frameworks. Performs the work and activities within the unit and carries out the function efficiently, accurately, and according to established policies and procedures. Responds to escalated issues, complex problems, or requests for exceptions/exemptions requiring due diligence in investigation, documentation, or formal response. Recommends and defers consideration for discretion to a Supervisor, RES Management, or a committee. Applies and reviews guidelines, procedures and policies. Troubleshoots and works with pertinent parties to resolve complex issues. Works closely with Supervisor or Assistant Registrar in applying discretion to guidelines or procedures which may cause precedence or impact multiple business units. Utilizes a student information system and other filing systems to verify, enter, access, retrieve, store, and maintain information. Organizes and disseminates information to ensure coordination amongst internal and external team members. Produces routine or complex, and ad hoc reports and analysis, as required. Trains colleagues, as required.
  • Coordinates and executes the development of processes that enhance a particular RES function, enhanced services, or projects within designated unit: Works collaboratively with RES team, internal support services, and external stakeholders in coordinating and executing business process redesign projects, enhancements, or change initiatives. Provides input and subject matter expertise during design and implementation stages. May recommend changes to procedures or guidelines. Coordinates and executes change in conjunction with RES Supervisors, management, IT, and other support services. May participate in the development, deployment, troubleshooting, and ongoing maintenance of system upgrades. Maintains, updates, and/or configures the student information system to produce reports or data for the designated unit or function. The incumbent may perform this task independently or may delegate.
  • Liaises with internal and external individuals and groups and participates in activities associated with the College and/or RES: Attends and represents the College at fairs, events, or conferences. Leads or participates in internal or external workshops or presentations. Maintains liaison with internal and external contacts. May participate in committees which relate to the primary registrarial function. Participates in the professional development to enhance skills, and maintain knowledge of current practices in field, information technology, and post-secondary education.
  • Provides back-up to colleagues in similar positions in other RES units
  • Performs other related work as required or assigned.
