About The Position

We are looking for a Mechanical Services Advisor with experience in administration, estimation, and customer service. You will be part of an administrative team responsible for coordinating the workflow of our automotive technicians. Your role will involve parts research, preparing quotes, creating purchase orders, and tracking production schedules for our 6 technicians. The ideal candidate has 2 to 3 years of experience as a technical advisor.

Requirements

  • 2 to 3 years of experience as an automotive technical advisor.
  • Strong customer service and communication skills.
  • Ability to manage and respond effectively to multiple simultaneous requests.
  • Bilingual in French and English - This role requires you to interact with customers, executives, and colleagues in Quebec, other provinces, or other countries who may not speak French.

Nice To Haves

  • Previous experience or training as an automotive technician or apprentice.
  • Basic mechanical knowledge to communicate effectively with customers and the technical team.
  • Experience with the Mitchell estimating system.
  • Proficiency with Google Suite.

Responsibilities

  • Respond to customer requests, gather information on vehicles and required services, and ensure each customer receives prompt, efficient, and courteous attention.
  • Promote OPENLANE's mechanical services to auction customers, recommend necessary or value-added repairs, and coordinate the repair process upon approval.
  • Accurately estimate the cost of mechanical repairs (materials, supplies, and labor) for dealerships and retail/commercial customers, in accordance with Service Level Agreements (SLAs) and company procedures.
  • Prepare repair orders, including the description of authorized work and services.
  • Consult with technicians regarding diagnostics, recommended work, and the status of pre- and post-sale inspections.
  • Perform all administrative tasks related to shop operations: preparing quotes, obtaining customer approvals, ordering parts, invoicing, entering charges into the AMS system, and other data entry.
  • Act as a liaison for the shop during arbitration processes, in collaboration with OPENLANE's claims department.
