About The Position

The Dallas Zoo is seeking an Advancement Services Specialist to play a key clerical and administrative role supporting the Advancement team. This position is crucial for processing daily contributions, maintaining accurate donor records, and ensuring timely acknowledgments. The role utilizes the Tessitura Constituent Database for data integrity and supports donor and member stewardship through various initiatives, including fundraising events, donor engagement, and guest ticketing. The Advancement Services Specialist will also provide overall administrative support to the Advancement division.

Requirements

  • HS Diploma or GED equivalent.
  • Computer proficient with a command of Microsoft Word, Excel, Outlook, and PowerPoint.
  • Willingness and ability to learn and utilize the Tessitura donor and ticketing software system.
  • Strong writing and editing skills.
  • Excellent attention to detail and diligence to ensure accuracy.
  • Ability to work independently.
  • Tasks may involve extended periods of time at a keyboard or workstation.
  • Must be able to walk, stand, sit, kneel, stoop, crawl, twist, reach above head, pull bend, climb stairs and ladders, and carry up to 25lbs.
  • Ability to work flexible shifts, including evenings, weekends or holidays as needed for special events or peak season support.
  • Ability to work indoors and outdoors with exposure to cold and heat.
  • Must have a valid Texas driver’s license to be able to operate Zoo vehicles.

  • Successful candidates must complete pre-employment drug screening, background check, and TB test.

Nice To Haves

  • Prior experience in a role with non-profit work or donor stewardship preferred.
  • General understanding of fundraising principles and practices is a plus.
  • Experience with Tessitura is preferred.
  • Experience writing/maintaining direct donor communications, including personalized correspondence.

Responsibilities

  • Serve as an ambassador for the Dallas Zoo, providing outstanding customer service to donors, members, and guests.
  • Enter and track solicitations and contributions in the Tessitura CRM.
  • Collaborate with program managers to support member and donor stewardship, executing solicitation and acknowledgment letters.
  • Produce receipts, write acknowledgments/thank you letters, and maintain program-specific acknowledgment processes.
  • Assist with the fulfillment of donor recognition programs (e.g., Adopt-an-Animal, Zoo Bricks, tributes, memorials).
  • Record and maintain stewardship and fulfillment information in Tessitura.
  • Review donor information and assist in developing prospective donor lists.
  • Support departmental data tasks, including maintaining stewardship plans and tracking donor communications in the CRM.
  • Support digital file management practices by updating stewardship plans and SharePoint.
  • Conduct donor prospect research as needed.
  • Assist with galas, special events, and other donor/member activities.
  • Cross-train to assist in the Membership Booth.
  • Communicate effectively with colleagues, donors, and members in-person, via email, and by phone.
  • Provide administrative support, including mailings and mass data input.
  • Perform other duties as assigned.
