About The Position

We are seeking an experienced Advanced Medical Support Assistant (AMSA) to provide comprehensive administrative and medical support services within a fast-paced healthcare environment. The AMSA serves as a key member of the patient care team and is responsible for patient scheduling, front-desk support, medical records coordination, customer service, and other non-clinical administrative functions supporting Primary Care operations. This position requires strong organizational skills, professionalism, attention to detail, and the ability to communicate effectively and compassionately with patients, family members, healthcare providers, and staff.

Requirements

  • Two (2) to three (3) years of relevant experience, preferably involving medical administration, patient scheduling, healthcare administrative support, or a similar medical office environment; OR Certification from an accredited institution related to medical administration.
  • Strong customer service and interpersonal communication skills.
  • Experience scheduling and coordinating appointments in a healthcare or medical office environment.
  • Ability to manage multiple priorities, deadlines, and patient-related administrative tasks.
  • Strong attention to detail and accuracy when handling patient information and records.
  • Ability to communicate professionally with patients, family members, healthcare providers, and staff.
  • Ability to maintain confidentiality and comply with applicable patient privacy requirements.
  • Proficiency with computers, electronic records, office equipment, and standard administrative systems.
  • Ability to work effectively as part of an interdisciplinary healthcare team.
  • Ability to demonstrate tact, patience, and professionalism when assisting patients who may be experiencing difficult or stressful circumstances.

Responsibilities

  • Provide professional front-desk, receptionist, and customer service support to patients, families, healthcare providers, and staff.
  • Schedule, reschedule, and coordinate patient appointments for assigned clinics and healthcare teams.
  • Assist with clinic access and scheduling issues by adjusting appointment dates, times, or locations and coordinating patients with alternate providers when necessary.
  • Manage administrative and non-clinical activities supporting the Primary Care team from initiation through completion.
  • Verify patient identity in accordance with established patient safety procedures.
  • Review, validate, and update patient demographic and contact information during in-person and telephone interactions.
  • Collect, scan, verify, and update patient health insurance information.
  • Identify patients with third-party insurance and support applicable administrative and revenue processes.
  • Receive and screen telephone calls, determine the nature of requests, and provide appropriate information while maintaining patient privacy.
  • Ensure required health and administrative information is accurately entered into the electronic patient record system.
  • Review active and pending consults, recall lists, return-to-clinic lists, and patient communications for accuracy and appropriate disposition.
  • Monitor appointment availability and promptly communicate scheduling or access concerns to appropriate leadership.
  • Participate in daily team huddles and weekly meetings with the assigned Patient Aligned Care Team (PACT).
  • Coordinate and communicate with VA and non-VA healthcare providers, hospitals, specialists, diagnostic and treatment facilities, and community-based programs as required.
  • Assist patients with information and appropriate referrals regarding VA transportation and Beneficiary Travel services.
  • Support electronic records management, patient scheduling, program coordination, and other administrative functions.
  • Maintain a high level of tact, diplomacy, professionalism, and confidentiality when assisting Veterans and their families.
  • Prioritize assignments and meet established deadlines based on patient, clinic, and operational needs.
  • Perform other related administrative and medical support duties necessary for efficient daily clinic operations.
