About The Position

The Admitting Representative is responsible for facilitating the process of pre-admission or admission of all patients into the hospital in a courteous and professional manner. This role involves meeting and greeting the public and patients, ensuring a positive first impression. The representative interviews patients, gathers accurate database information for efficient registration, and collaborates with ancillary departments for accurate patient registration, billing, case management, and discharge planning information.

Requirements

  • Minimum of 1-year progressive admission/registration experience or previous MD office, medical billing experience preferred.
  • Knowledge of medical terminology.
  • Knowledge of third-party reimbursement.
  • Excellent verbal and written skills.
  • Bilingual English/Spanish preferred.
  • Manual dexterity and mobility.
  • Ability to follow proper lifting techniques.
  • Ability to push wheelchairs with weight to 150 lbs.
  • Ability to utilize computers and electronic equipment: CPT, printers, typewriters, computers, telephones, and fax machines.
  • Must obtain his/her MAB (Management of Assaultive Behavior) and Fire Card course within first 60 days of employment.
  • Required to attend an AIDET Training class.

Nice To Haves

  • Previous MD office, medical billing experience preferred.
  • Bilingual English/Spanish preferred.

Responsibilities

  • Facilitate the pre-admission or admission process for all patients.
  • Serve as the primary welcoming representative to patients, public, and visitors.
  • Conduct oneself in a manner consistent with organizational customer service standards.
  • Interview patients courteously to obtain accurate information for admission and registration.
  • Adhere to the established dress code.
  • Escort or arrange escort of patients or public to designated areas as needed.
  • Interpret and explain hospital, state, and federal policies and organizational services to patients and visitors.
  • Communicate effectively and professionally with patients, visitors, physicians, and hospital personnel.
  • Work in a fast-paced public arena and prioritize multiple tasks.
  • Be aware of when customer relations situations require managerial support.
  • Communicate all necessary financial and demographic data to the Registration Department.
  • Alert appropriate departments of self-pay accounts for follow-up and review.
  • Witness and obtain patient signatures on all required forms.
  • Create admission financial files for each patient admission.
  • Verify benefits and obtain eligibility for every patient encounter.
  • Notify the Insurance Company and IPA on every patient admitted prior to admission.
  • Utilize 2 patient identifiers as outlined in the National Patient Safety Goals.
  • Use patient labels and identify all necessary patient documentation for accurate entry into the registration system.
  • Utilize 2 patient identifiers prior to placing a wrist band on a patient.
  • Reconcile current census admissions/discharges prior to shift-end for 100% accuracy.
  • Collect monies, write receipts, and deposit money collected from patients.
  • Actively support department/hospital policies, procedures, and regulations.
  • Maintain an organized, equipped, and safe work environment.
  • Assist coworkers and peers to improve department or hospital-wide processes.
  • Complete the Daily Productivity Log at the end of each shift.
  • Be flexible with shifts and/or days as emergencies arise.
  • Attend required staff meetings, in-services, and certification courses.
