About The Position

The Admitting Representative assists patients in accessing healthcare services through pre-registration, registration, and check-in. The representative is responsible for capturing accurate demographic and financial information through in person, electronic or telephone contact. The Admitting Representative courteously greets callers, determines the reason for their call, and answers questions or directs their requests to different departments as necessary. This is an onsite position. The Admitting Clerk is responsible for completing the department daily checklist, scanning all required documents into the patient’s electronic medical record, and daily petty cash reconciliation. They must also complete HealthStream education by the designated due date, model positive and professional interactions, read and respond to departmental emails, and follow all hospital and departmental policies and procedures, including HIPAA. The role requires a personal presence characterized by honesty, integrity, and caring, with the ability to inspire and motivate others to promote the mission, vision, goals, and values of McPherson Center for Health. Fostering collaborative relationships with peers and other staff, with a focus on teamwork, is essential. Participation in professional development and educational activities, attending and actively participating in all assigned meetings and in-services, and communicating time off requests by deadlines are also required. Other related duties may be assigned.

Requirements

  • High School Diploma or its educational equivalent.
  • One year of satisfactory clerical experience.
  • Ability to commute/relocate if needed.
  • Capability to sit and work with a computer for extended periods.
  • Customer service driven ability to answer a multi-line phone system and transfer if needed.
  • Self-motivated and able to work well both unsupervised and part of a team.
  • Keyboard familiarity with the ability to type at a minimum of 100 keystrokes (20 words) per minute.
  • Proficiency in Microsoft Office tools (Word, Excel, Teams, etc.).
  • Applicable working knowledge of Medicare/Medicaid and third-party insurance or ability to obtain within first 90 days.

Responsibilities

  • Assist patients in accessing healthcare services through pre-registration, registration, and check-in.
  • Capture accurate demographic and financial information through in person, electronic or telephone contact.
  • Greet callers courteously, determine the reason for their call, and answer questions or direct requests to different departments.
  • Complete department daily checklist, including pre-registrations and registration file maintenance.
  • Scan all required documents into the patient’s electronic medical record (includes consent forms, IDs, insurance cards, etc.).
  • Perform daily petty cash reconciliation.
  • Complete HealthStream’s education by designated due date.
  • Model positive and professional interactions between staff, leadership, providers, patients, and visitors.
  • Read and respond to departmental emails and interdepartmental communications in a timely manner.
  • Follow all hospital and departmental policies and procedures, including donning and doffing of appropriate PPE.
  • Understand and strictly adhere to HIPAA and promote a HIPAA compliant campus.
  • Maintain a personal presence characterized by honesty, integrity, and caring.

  • Provide clerical and PBX support to medical providers and outpatient service departments.
  • Answer phones, place and connect pages, take messages, and scan documents.
  • Assist Emergency Room providers in arranging transportation for discharged patients.
  • Compile midday and midnight Pre-Census Report.
  • Assemble patient visit paperwork including provider orders, insurance authorizations, lab results, and other required documentation.
  • Provide supporting coverage in all areas of registration (ER Admissions, Information Desk, Main Admissions, Wound Care Clinic, etc.).
