About The Position

The Admissions & Student Affairs Coordinator provides comprehensive administrative, operational, and student-facing support for the Admissions and Student Affairs (ASA) Office within the College of Osteopathic Medicine. This position serves as the primary point of contact for office operations, reception services, administrative coordination, financial transaction support, and student inquiries. The coordinator promotes efficient office operations, supports staff effectiveness, and enhances student experience through responsive service and informed referral to institutional resources.

Requirements

  • Associate's degree or High School Diploma with 10-plus years work experience in educational admin support
  • At least 2 years of administrative support experience, preferably in a higher education or medical/clinical environment.
  • Computer skills required, especially in Microsoft Office.

Responsibilities

  • Serve as the primary front-office staff member for the ASA Office, greeting students and visitors, managing ASA phone lines, and directing inquiries to appropriate team members.
  • Collaborate with unit leaders to establish and maintain consistent and efficient operational procedures for the ASA Office.
  • Serve as the primary point of contact for routine staff administrative and operational needs.
  • Manage calendars, schedule meetings and appointments, and coordinate travel arrangements.
  • Assist with managing ASA shared inboxes, including the COM Admissions Inbox, COM Student Success Inbox, and COM Student Government Inbox, in collaboration with unit leaders.
  • Assist with the preparation of departmental communications, presentations, event materials, and other resources.
  • Support departmental meetings, student and staff development activities, and COM events, including room reservations, supply purchasing, catering requests, and other logistical needs.
  • Maintain confidential student, applicant, and departmental records in accordance with FERPA, University policies, and applicable College procedures.
  • Serve as the primary administrative contact for COM student organizations, in consultation with the Director of Student Engagement & Culture, coordinating operational needs such as room reservations, event logistics, supply requests, storage, and access to College resources.
  • Provide responsive, student-centered service by answering routine questions regarding admissions, enrollment, registration, student services, and ASA processes using established policies, procedures, and guidelines.
  • Triage student questions and concerns and connect students with the appropriate ASA staff member, College office, or University resource for further assistance.
  • Maintain current knowledge of College and University resources and effective working relationships with key campus partners to facilitate accurate and timely student referrals.
  • Provide administrative coordination among students, ASA staff, faculty, counselors, learning specialists, and other administrators in support of student success and engagement initiatives.
  • Foster an environment that promotes respect for and effective engagement with individuals from a variety of cultures, backgrounds, experiences, and identities.
  • Process and support P-card purchases for the ASA Office in accordance with University and College policies and procedures.
  • Process approved P-card purchases for the Student Government Association and COM student organizations, as needed.
  • Prepare and submit travel reimbursements and related documentation for ASA staff and students traveling on behalf of the COM.
  • Assist with departmental budget tracking, transaction monitoring, financial documentation, and compliance in conjunction with the COM accounting specialist.
  • Complete required reconciliation and reallocation of departmental purchases and transactions.
  • Maintain accurate financial records and supporting documentation in accordance with University requirements.
  • Collaborate with COM units to support departmental initiatives, special projects, and College-wide priorities.
  • Provide temporary administrative coverage during staff absences or peak operational periods.
  • Contribute to the continuous improvement of administrative processes, procedures, and systems within the College.
  • Respond to emerging operational needs and institutional priorities that align with the scope of the position.
  • Perform other duties as assigned in support of the College of Osteopathic Medicine.
