About The Position

The Admissions Specialist is responsible for the recruitment, coordination and selection of all students to the DDS program, DDS Advanced Placement program, Dental Hygiene Bachelor of Science (Dental Hygiene Specialization) program, Post Dental Hygiene Diploma Degree Completion program, Dental Assisting certificate and supporting graduate and post-graduate program admissions. The primary responsibility of this position is to ensure key admissions initiatives are conducted and supported in an informed, consistent, efficient, timely and data driven manner. A high level of admission subject matter expertise is critical. The incumbent is required to have extensive process knowledge to be able to identify and recommend improvements and or solutions proactively. This role is responsible for all phases of the admission related process within the School of Dentistry. This position monitors, communicates, reports and facilitates all areas of admissions. Working closely with the Co-Chairs of the Admissions committee this position plans, manages and communicates on diverse deliverables. Reporting to a Manager, Curriculum & Programs, the Admissions Specialist is an expert member of the admissions team and is responsible for admission decisions made on applicant files. The Specialist Admissions decisions will impact the future of our applicants' education and lives, as well as the reputation of the School of Dentistry. This position is expected to know all aspects of the interpretation, implementation and evaluation of different curricula as well as admission policies and procedures, and ensures the timely evaluation of complex undergraduate and graduate admission applications. This may involve evaluation of complex multi curricula, multi faculty, dual credit and international admission files and decision making on non-standard files. This position must also be knowledgeable in international standard curricula to interpret and evaluate the credentials and education students present at the postsecondary level. The Specialist Admissions is the first point of contact for program inquiries regarding admissions, individual files and transfer credit items and is accountable for timely resolution of their concerns. They are responsible for the quality assurance of files by developing and utilizing processes available in Slate to ensure files are complete and accurate. This role is responsible for the mentorship and training support for Admissions Assistant to achieve the highest level of quality and accuracy in their work. In addition, this position organizes, manages, and is accountable for the overall prioritization of their assigned workload to meet specified individual or unit target goals and deadlines, in support of School’s or stakeholder needs. The Admissions Specialist analyses and evaluates applications for admission with specific admission criteria which are unique for each of the School’s accredited programs. Also, this role is responsible for research as needed on specific files, curricula, issues, etc. as well as proactively identifying trends in applicant behaviour or documentation. In addition, this role will be the key point of contact for international partners to ensure progress continues on files from specific countries or relationships that are being targeted. Areas of responsibility include: providing expert advice on admission policies and procedures; researching best practices and benchmarking of other postsecondary institutions to make recommendations to policy and or procedure changes; coordinating admission procedures and process activities for the School of Dentistry; having leadership responsibility to provide essential direction for the delivery of admission related activities, processes and training; recommending and implementing new initiatives for improved procedural efficiencies within the admissions team.
