About The Position

TASC Outpatient Services is seeking a highly organized, compassionate, and responsive Admissions Specialist & Administrative Assistant to join our Columbus team. This position plays an important role in helping individuals access outpatient substance use disorder and behavioral health services. As one of the first points of contact for prospective clients and families, you will help make the admissions process welcoming, efficient, and easy to navigate while also providing administrative support to the outpatient program.

Requirements

  • Strong verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Comfortable utilizing electronic health records, CRM platforms, Microsoft Office, email, and other business technology.
  • Ability to maintain confidentiality and appropriately handle sensitive client and financial information.
  • Ability to work independently while collaborating effectively as part of a multidisciplinary team.
  • Must possess, or obtain within 30 days of hire, current CPR and First Aid certification.

Nice To Haves

  • Bachelor’s degree in social services, healthcare, management, business, or a related field preferred.
  • Two or more years of experience in behavioral health or substance use disorder treatment strongly preferred.
  • Two or more years of admissions, intake, case management, healthcare administration, or related experience preferred.
  • Peer Recovery Coach certification preferred.
  • Knowledge of substance use disorders, behavioral health treatment, and the recovery process strongly preferred.

Responsibilities

  • Respond promptly to new referrals and admissions inquiries, including returning missed referral calls within one hour.
  • Conduct initial phone and in-person screenings to help determine eligibility and appropriate level of care.
  • Educate prospective clients and families about available outpatient services, program expectations, the admissions process, and financial responsibilities.
  • Schedule and coordinate clinical and medical assessments and intake appointments.
  • Coordinate insurance verification, financial guarantor information, and payment arrangements.
  • Ensure required admission documentation, including consents, releases of information, and financial agreements, is completed accurately.
  • Enter and maintain referral, assessment, and admission information in the EMR, CRM, and other required systems.
  • Maintain communication with Verification of Benefits (VOB), Billing, clinical teams, and other departments to support timely access to care.
  • Communicate professionally with hospitals, providers, community partners, and other referral sources.
  • Partner with Business Development to follow up on referrals and reduce barriers to admission.
  • Provide appropriate community resources and referrals when an individual is not eligible for TASC services.
  • Coordinate tours or introductory visits for prospective clients and families when appropriate.
  • Maintain compliance with applicable state, federal, organizational, and accreditation requirements.
  • Provide administrative support to the Executive Director and outpatient team.
  • Collect authorized client payments and maintain appropriate documentation.
  • Process deposits and financial documentation in accordance with Company procedures.
  • Assist medical providers with coordination and follow-up for required laboratory services.
  • Maintain organized, accurate, and confidential records.
  • Assist with scheduling, communications, reports, and other administrative needs of the outpatient program.
  • Support process improvements and new operational initiatives as assigned.
  • Perform other duties as assigned by the Executive Director.
