About The Position

The Admissions Operations Coordinator at Louisiana State University of Alexandria (LSUA) is responsible for managing document flow and data processing within the Admissions and Recruitment Systems. This role involves handling transcripts, test scores, and overseeing document imaging systems. Additionally, the coordinator provides front desk support for the Admissions and Recruitment office, assisting students and staff with inquiries regarding admission requirements, application status, academic programs, policies, and necessary documentation. The position also entails transferring calls, managing office email inboxes, and performing other duties as assigned by the Director of Admissions and the Associate Vice Chancellor of Enrollment.

Responsibilities

  • Receive and Process Transcripts: Download transcripts electronically and post to Admissions & Recruitment Systems.
  • Receive transcripts by mail and post to Admissions & Recruitment Systems.
  • Scan and verify transcripts through imaging system.
  • Notify Admission Counselors of transcripts received.
  • Determine if transcripts are complete and official.
  • Notify students if there are issues with transcripts received.
  • Manage Test Scores: Manually enter test scores received as official.
  • Upload test scores received electronically.
  • Notify appropriate staff of received scores.
  • Communicate with testing companies directly if there are issues with data files.
  • Troubleshoot issues before informing the Director of Admissions and Recruiting of problems.
  • Data: Oversee & maintain document imaging systems for the Office of Admissions & Recruitment.
  • Coordinate document transfer needed through the LSUE/LSUA Referral Partnership.
  • Provide assistance with incoming questions concerning Admission Requirements, Status of Applications, Academic Programs, Admission Policies, and Documentation Required for Admission.
  • Transfer phone calls to appropriate individuals when needed.
  • Check associated office email inboxes, answering questions and forwarding questions, as needed.
  • All other duties as assigned by Director of Admissions and the Associate Vice Chancellor of Enrollment.
