About The Position

The Admissions Counselor II provides advanced professional knowledge, advice, and counseling about the UTA and School of Social Work admission processes. Process, review, and compile graduate admissions files for the master’s and doctoral admissions committees. Keep accurate admissions records and, in the CRM , monitor and follow up with students missing necessary documents to complete their application files. Respond to students’ calls and emails, offer precise admissions information, and document interactions properly in the CRM . Coordinate with University Enrollment Management, Graduate Admissions, SSW Academic Programs, supervisors, and other staff as needed to support the admissions process and resolve any issues. Oversee the scholarship submission process and offer administrative support as required. Represent the university at admissions information sessions or other recruiting events as needed. Perform additional duties as assigned.

Requirements

  • No degree with six (6) years or more of experience in student admissions or student services with a knowledge of higher education admissions and entrance requirements.
  • Demonstrate successful recruiting experience and experience using a Customer Relationship Management ( CRM ) such as Slate, HubSpot, Salesforce or other similar database management platforms.

Nice To Haves

  • Associate degree or higher.
  • Three (3) years or more of experience in admissions processing, student counseling, student affairs, or student services.
  • Experience using a Customer Relationship Management ( CRM ) platform such as Slate or HubSpot for student Admissions.
  • Experience in public speaking and speaking in front of large groups.
  • Experience developing PowerPoint presentations and using Excel.
  • Experience using online web conference platforms.

Responsibilities

  • Provide expert knowledge, advice, and counseling to prospective students, applicants, and others about applying to and enrolling in the UTA School of Social Work undergraduate and graduate programs.
  • Respond to phone calls, emails, and walk-ins with admissions information, status updates, and counsel applicants when additional documents are needed.
  • Offer information to prospective undergraduate and graduate students and their families at various stages of the college search cycle and admissions process about freshman enrollment, transfer admissions, transfer credits, readmission, special student status, graduate admissions, and career opportunities in the social work field.
  • Review and assess transcripts of prospective transfer and graduate students and guide them on enrollment requirements for our academic programs.
  • Manage and review application files from receipt through evaluation, ensuring the files are accurate for determining admission decisions in the university’s CRM and other databases.
  • Maintain and update admission information across multiple databases, and follow up with probationary, readmitted, and other applicants to ensure timely admissions.
  • Keep detailed records and logs to guarantee timely communication with prospective students, applicants, recruiters, admissions committee members, academic advisors, program directors, deans, supervisors, and staff.
  • Ensure a consistent and prompt flow of admission files within the Slate CRM and other online management systems.
  • Coordinate with University Admissions and other offices to resolve errors or issues and ensure accurate, timely admissions decisions are entered.
  • Input official admissions information or decisions as directed by the supervisor and in line with SSW , UTA , and UT System requirements.
  • Ensure admissions information on website, in marketing materials, on the application platform, and other communications is consistent and accurate.
  • Reconcile various university admissions reports with SSW data and information.
  • Provide administrative support with scholarship submissions, packaging, tracking, informing, and communicating with applicants.
  • Provide information about scholarships to prospective students, maintain accurate records, and assist the manager as needed to ensure an efficient, timely decision-making process.
  • Attend professional conferences, college and career fairs to set up and staff the admissions booth; provide admissions information and counseling to prospective students at college fairs.
  • Conduct admissions information sessions when recruiters are unavailable due to travel.
  • Collaborate closely with other SSW staff and the communications, recruiting, and marketing teams to ensure a cohesive and successful approach to the admissions process.
  • Assist with administrative tasks related to recruiting, admissions, communications, marketing, and scholarships as needed.
  • Serve as the primary SSW admissions office administrator, working alongside the academic recruiters, SSW MARCOM staff, and leaders to ensure the office is staffed to handle calls, emails, walk-ins, and visitors during regular business hours.
  • Provide additional administrative support to the manager and assistant dean as needed to maintain smooth office operations.
