About The Position

The admissions coordinator is the client’s first point of contact with the agency’s withdrawal management program. The Admissions Coordinator will be responsible for screening referrals, scheduling intake appointments, admitting clients into the program and assisting the Program Director with training and protocol reviews. The admissions coordinator performs a variety of duties related to client access to services and program protocols, while maintaining a positive attitude and a team-oriented mentality.

Requirements

  • CADACC is required; equivalent experience or education will be considered
  • Experience working with diverse populations; substance use and/or mental health work experience preferred
  • Must exhibit cultural competence and sensitivity toward mental health clients
  • Must exhibit professionalism, punctuality, flexibility, and reliability at-all-times
  • Must be comfortable with, and entertain frequent interruptions, with patience and decorum, in a fast paced, intensive, client centered environment
  • Excellent organization and time management skills
  • Experience with email and Microsoft Word and Excel and Welligent
  • Must obtain CPR/First Aid certification and complete annual required trainings
  • Must be able to communicate effectively both verbally and in writing in the language spoken by clients
  • Must pass comprehensive background check, reference check, and possess a valid driver license, current auto liability insurance and a clean driving record

Responsibilities

  • Reviews referrals from all sources (Call Center, other county departments, clients, families & others)
  • Screens clients, schedules appointments with after consultation from MD, program director
  • Completes admission process in partnership with staff doing the HSQ including the following tasks but not limited to: Medical eligibility, CalOMS ALOC, Medical necessity, Care plan, Consents, Explanation of house rules and benefits
  • Entering client data into electronic health record (Welligent)
  • Completing pre-admission form in MyAvatar
  • Completing the referral disposition in MyAvatar
  • Consults with clinical staff & medical staff when appropriate
  • Reviews WM protocol and coaches & instructs WM techs on correct procedures
  • Provides general oversight (not supervision per se) over the WM tech tasks (addresses gaps in documentation, protocols)
  • Coordinates with Director, Implementation to implement pilots, quality improvement projects & other WM improvements as needed & identifying & troubleshooting implementation issues
  • Oversees general data quality of documentation & completes web calls
  • Send treatment status reports to criminal justice department
  • Maintains referrals, screening & admission records on a monthly basis
  • Perform additional duties as assigned by the administrative supervisor
