As an Admissions Assistant, you will play a key role in supporting the admissions process and helping maintain full occupancy across all program levels. You will assist with coordinating referrals, managing admission documentation, and ensuring a smooth and welcoming transition for new residents. This position works closely with the Admissions Coordinator and multidisciplinary teams to support efficient operations and excellent customer service.

Requirements

  • High school diploma required
  • Strong written and verbal communication skills
  • Excellent organizational and multitasking abilities
  • Ability to manage changing priorities and meet deadlines
  • High level of professionalism and discretion with confidential information

Nice To Haves

  • Associate degree preferred
  • Background in business administration, healthcare, or related professional experience preferred

Responsibilities

  • Coordinate all aspects of admissions, including referrals, communication with Nursing Services, paperwork collection, processing, and resident orientation
  • Assist with admissions placement and support campus-wide referral management
  • Participate in admission meetings and provide updates in the absence of the Admissions Coordinator
  • Maintain daily census records and generate daily, monthly, and annual reports
  • Manage inquiry and waiting lists to support maximum occupancy, including maintaining a prospect database
  • Act as a liaison between referral sources and the organization as directed
  • Provide tours to prospective residents and families
  • Prepare and distribute informational packets for prospective admissions
  • Escort new residents during program entry to ensure a smooth transition
  • Support organizational decision-making by providing accurate admissions data and insights
  • Independently manage daily workload, priorities, and deadlines
  • Maintain strict confidentiality of all resident and organizational information
  • Support Continuous Quality Improvement initiatives and recommend process enhancements
  • Ensure compliance with all applicable laws, regulations, and organizational policies
  • Promote a culture of safety and maintain professional relationships with staff, community members, and agencies
  • Perform additional duties as assigned
