About The Position

This role provides strong office support for the School of Musical Theatre in the areas of Recruitment and Admissions, Marketing and Publicity, and Student Services. The school requires a highly selective, robust recruitment plan that includes strategic marketing of the School of Musical Theatre and the University of Oklahoma to prospective students, their families/teachers, and other college audition stakeholders, with excellent and frequent communications, audition scheduling, callbacks, and several instances of face-to-face assessment of students by the faculty. This role assists in every aspect of this process. Marketing is primarily geared to prospective students and industry stakeholders. Additional duties include liaison for student activities, event planning, and support of OU Musical Theatre curriculum and programming. Upbeat personality and welcoming attitude. Must be a positive, contributing member of the MT staff team with enthusiasm for Student/School support and celebration. This role is offered as a .75 Full-Time Employee (FTE) with full benefits. This classification means that the employee would work 30 hours per week with a flexible schedule. This position is ideal for someone with strong marketing and graphic design skills and theatre background, with perhaps an additional freelance career or other outside commitments.

Requirements

  • The ability to speak, read, and write clear, concise English.
  • Composition and proofreading expertise.
  • Proficiency in Microsoft Office & Adobe Acrobat.
  • Social Media expertise with excellent design skills.
  • Highly organized with the ability to handle multiple projects and deadlines.

  • Creative problem-solving abilities.
  • A self-starter on long-range projects, working to completion with excellence and reliability, and a focus on customer service.
  • Able to communicate well and build rapport quickly with students, faculty and staff.
  • Graphic Design skills with an artistic aesthetic.
  • Canva, Photoshop, and video-editing skills with an eye towards theatrical form and musicality.
  • Strong understanding of the Theatre/Broadway industry, including new seasons, current productions, touring schedules, casting, auditions, awards season, trends, and calendars, especially as this content relates to OU Musical Theatre alumni success, and the ability to creatively celebrate these accomplishments with the School community and our stakeholders.

  • Must be able to reach, engage in repetitive motions, communicate, hear and see.
  • Bachelor's degree.
  • 12 months of related experience.

Nice To Haves

  • Photography, videography skills a plus.
  • Occasional weekend hours around opening nights/productions, preview and admitted student days, and important School events.
  • Some minor lifting and moving of marketing equipment/materials and school supplies – as needed.
  • At least two years of marketing experience within a professional theatre or academic arts environment.
  • University-level student services experience is a plus.
  • Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 60 months of related experience.

Responsibilities

  • Primary support for prospective students and incoming freshmen.
  • Promote the excellence of the School of Musical Theatre and OU to prospective and current students, and to the university community, local and national audiences, and industry stakeholders through marketing and social media campaigns, as well as on-campus events.
  • Conduct year-round information meetings with visiting families and prospective students.
  • Coordinate, host, and curate on-campus program auditions.
  • Create student schedules and information sharing – both on-campus and nationally.
  • Coordinate all national auditions for the program, recruitment scheduling, travel arrangements and payments, admitted student days, and serve as the point-of-contact to various recruitment partners.
  • Offer summer communication and support to the incoming freshmen class and families regarding the OU enrollment deadlines, Fine Arts requirements, and admissions checklist.
  • Serve as a liaison to the OU Office of Admissions and Recruitment (OAR) for prospective students and incoming freshmen.
  • Collaborate with OAR efforts in marketing and recruitment.
  • Coordinate “Admitted Student Days” and individual itineraries for admitted students visiting campus.
  • Support advising practices for all Musical Theatre students.
  • Collaborate with Accepted platform teams and assist in the annual reset of our OUMT audition portal on this website.
  • Coordinate Preview Day events.
  • Manage recruiting budget, reconcile travel receipts for faculty, and create an annual expense report.
  • Use a variety of OU data management systems as they relate to Admissions, Financial Aid, etc.
  • Create marketing pieces, recruitment materials, visual aids, and plans – both virtual and hard copy.
  • Create Production Imagery – logos, photographs, and highlight reels for promotional materials.
  • Maintain/update all OUMT promotional materials, information packets, swag.
  • Create ads for Playbill-style programs as well as department Press Releases.
  • Create promotional reels and messaging for TV monitors throughout Carpenter Hall.
  • Occasional video projects may include editing songs or full show videos for student and School promotional use.
  • Production promotions and logo design for off-campus productions.
  • Social media: Create and manage content for OU Musical Theatre Facebook and Instagram accounts.
  • External Relations – Local, Regional, National partnerships.
  • Maintain the school website - content, updates, revisions.
  • Liaison to OU Marketing Team as well as College of Fine Arts Marketing and Publicity.
  • Upkeep of alumni (and faculty) headshot/bios and promotion.
  • Advertising – Local and national.
  • Timed planned posts during holidays and weekends are expected.
  • Coordinate with the Fine Arts Dean’s office for student advising.
  • Provide enrollment overrides and assistance to OUMT students.
  • Organize and plan Freshmen Orientation/Welcome Day for new students.
  • Organize freshmen seminars during the fall semester.
  • Assist the Director with external-facing issues and prospective student strategy.
  • Contribute to a positive culture of the program with an eye towards customer service.
  • General office support such as answering office phones and School email inquiries, as needed.
