About The Position

This position will be pivotal in driving the growth and success of the Undergraduate Nursing Program by effectively managing the admissions, enrollment, and compliance processes. The individual will lead active recruitment and admission efforts to convert prospective student inquiries into enrolled undergraduate nursing students. Additionally, the position will collaborate closely with affiliate credentialing departments to ensure that newly admitted students meet and maintain all required regulatory and clinical compliance standards, facilitating timely placement and successful learner experiences at clinical sites.

Responsibilities

  • Represent the Undergraduate Nursing Program at virtual, local, statewide, and national recruitment events to promote enrollment and program visibility.
  • Serve as a key member of the admissions team, working collaboratively with the Center for Academic Success and Advising (CASA) to ensure pre-nursing and transfer students receive accurate, timely, and consistent information regarding program requirements, academic progression, and eligibility criteria.
  • Communicate comprehensive information to prospective undergraduate students regarding program structure, admission requirements, prerequisite coursework, clinical compliance requirements, and enrollment processes.
  • Coordinate and participate in campus events for prospective students, admitted students, and special interest groups to support enrollment yield and program growth.
  • Review and evaluate undergraduate admission documents, including academic transcripts, prerequisite coursework, GPA calculations, and standardized entrance exam results (if applicable), to determine eligibility in accordance with program admission criteria.
  • Provide prospective students with information regarding university resources and external support services that facilitate successful admission and enrollment into the undergraduate nursing program.
  • Plan and implement information sessions and targeted outreach campaigns for applicants with incomplete files; advise students on missing requirements and guide them throughout the admissions process.
  • Monitor and maintain applicant data within Salesforce and student information systems to ensure accuracy, compliance, and timely processing.
  • Present completed applicant files to the Undergraduate Nursing Admissions Committee for review and actively participate in committee deliberations.
  • Maintain and manage the prospective student database.
  • Prepare unofficial transcript evaluations for undergraduate applicants, including transfer and conditionally admitted students, and generate and distribute admission decision communications to students and relevant university stakeholders as appropriate.
  • Provide prospective students with comprehensive information regarding the university and external resources that support successful admission, enrollment, and transition into the Undergraduate Nursing Program.
  • Develop and implement a strategic communication plan to support applicant engagement, facilitate timely enrollment decisions, and improve conversion from acceptance to matriculation.
  • Generate and distribute official admission decision communications to students and relevant university stakeholders as appropriate.
  • Serve as the primary advisor for Baptist self-pay and sponsored undergraduate nursing students, ensuring adherence to institutional and partnership requirements.
  • Provide accurate registration and enrollment information for Baptist-sponsored students to the Operations Manager to support billing and financial processing.
  • Connect students with appropriate university and community resources to promote academic success, retention, and overall well-being.
  • Support students in achieving academic and professional goals while ensuring compliance with program progression standards and monitoring academic performance.
  • Review and analyze student academic records in preparation for advising appointments; provide informed guidance and schedule follow-up meetings as needed.
  • Collaborate and consult with Undergraduate Nursing Program Directors regarding the academic progress, standing, and support needs of individual students.
  • Maintain and update the enrolled student database to ensure accuracy, compliance, and reporting integrity.
  • Manage and oversee the compliance program for all external affiliate requirements related to undergraduate student credentialing, including program accreditation standards, clinical affiliate requirements, background checks, immunizations, health clearances, drug screenings, and other regulatory mandates.
  • Advise admitted undergraduate nursing students regarding credentialing and compliance requirements; develop and implement a structured communication plan to ensure timely completion and ongoing maintenance of required documentation.
  • Participate in new student orientation sessions to present, explain, and address questions related to the clinical credentialling and compliance program.
  • Maintain a comprehensive compliance database and communicate regularly with undergraduate nursing students, faculty, advisors, and program directors regarding students’ regulatory and clinical compliance status.
  • Generate and provide compliance reports to program directors, faculty, and clinical affiliates as requested to support clinical placement and accreditation standards.
  • Address and resolve student credentialing issues promptly in consultation with program directors, faculty, and clinical affiliates to minimize disruption to clinical learning experiences.
  • Maintain accurate and up-to-date credentialing records within student management and compliance tracking systems in accordance with regulatory agency and clinical partner requirements.
  • Serve as the primary compliance liaison to external agencies, including clinical affiliates and credential management vendors, and notify program leadership in a timely manner regarding flagged, incomplete, or non-compliant records.
  • Coordinate and maintain the CHPMS compliance database and act as liaison between the American DataBank (or other credential management systems), undergraduate nursing students, and program leadership to ensure regulatory adherence and clinical readiness.
  • Prepare and present admissions reports to the Dean and Director of Operations, including application trends, enrollment metrics, and demographic data.
  • Generate attrition and retention reports in collaboration with academic leadership upon request.
  • Provide data analysis to support enrollment planning, accreditation reporting, and operational decision-making.
  • Obtain and compile program-specific reports requested by the Director and Dean to support strategic initiatives.
  • Provide structured feedback to compliance software vendors regarding system functionality, reporting capabilities, and workflow efficiency.
  • Identify process improvement opportunities within admissions and credential tracking platforms.
  • Recommend system enhancements to improve regulatory compliance monitoring, data accuracy, and user experience.
  • Participate in testing, implementation, and optimization of updated vendor systems.
