As an Admission Specialist, you will coordinate admissions and referral processes, support census management, maintain accurate records, facilitate client screenings, and collaborate with clinical and billing teams to ensure seamless service delivery. The ideal candidate is detail-oriented, organized, customer-focused, and possesses strong communication and multitasking skills in a fast-paced environment.

Requirements

  • High School Diploma or General Equivalency Diploma (GED).
  • Current valid driver's license in state of residence with an acceptable driving record.
  • Current automobile insurance as required by law.
  • Excellent verbal and written communication skills.
  • Strong customer service skills with the ability to establish rapport and create a welcoming atmosphere.
  • Ability to prioritize responsibilities, manage multiple tasks, and meet deadlines.
  • Basic computer proficiency, including Microsoft Word and Excel.
  • Knowledge of confidentiality requirements related to behavioral health and substance use treatment services.
  • Strong attention to detail and organizational skills.
  • Successful completion of background screenings, including criminal record, driving record, abuse/neglect, and fingerprint checks.
  • Must obtain First Aid certification within three (3) months of employment and maintain certification thereafter.
  • Must obtain CPR certification within three (3) months of employment and maintain certification thereafter.
  • Must complete required Behavioral Management training within thirty (30) days of employment or at the first available class following hire.

Responsibilities

  • Coordinate admissions and intake processes for new clients, ensuring a welcoming and supportive experience.
  • Facilitate client screenings by phone and in-person to assess eligibility and service needs.
  • Respond to referrals promptly and accurately document information in designated systems.
  • Maintain program census and waiting lists in accordance with applicable service standards and requirements.
  • Build and maintain positive working relationships with referral sources, clients, and team members.
  • Complete admission documentation including releases of information, residency verification, financial information, and other required records.
  • Collaborate with Care Managers to obtain and verify insurance information.
  • Enter and maintain accurate client data within required databases and timelines.
  • Coordinate with billing personnel to ensure admissions, transfers, and discharges are processed accurately and timely.
  • Provide administrative support to clinical staff through preparation of letters, forms, and related documentation.
  • Assist with chart reviews, filing, record organization, and maintenance of client files.
  • Correct documentation deficiencies within established timeframes.
  • Support additional departmental and organizational initiatives as assigned by leadership.
