About The Position

The Administrator is responsible for planning, organizing, staffing, directing, and coordinating the facility to ensure quality care for residents. This role requires knowledge of and adherence to federal, state, and local laws and regulations applicable to the facility and its residents, personnel, and physical plant. The Administrator is also responsible for interpreting and implementing the corporate vision, purpose, mission, and value statements. The person in this position is delegated the responsibility for carrying out assigned duties and responsibilities in accordance with current federal and state regulations and established company policies and procedures.

Requirements

  • Hold a current, unencumbered nursing facility administrator’s license in this state.

Responsibilities

  • Planning, organizing, staffing, directing, and coordinating the facility to ensure quality care for residents.
  • Implementing federal, state, and local laws and regulations applicable to the facility and residents, personnel, and physical plant.
  • Interpreting and implementing corporate vision, purpose, mission, and value statements.
  • Knowing, understanding, and conveying to department supervisors and staff the Federal and State rules and regulations regarding nursing home requirements and enforcing them within the scope of each Department.
  • Representing the facility with government and private agencies.
  • Establishing, implementing, reviewing, and updating facility policies and procedures pertaining to resident care, financial control, public relations, maintenance of physical plant, and procedure manuals.
  • Accompanying surveyors and consultants on facility inspections; arranging exit conferences, which include department heads; reviewing deficiencies and submitting plans of correction to the appropriate governmental agency upon receipt of a report of deficiencies.
  • Routinely meeting with department heads on a scheduled basis and conducting/participating in in-service classes and supervisory level training programs.
  • Attending workshops, seminars, and educational sessions to stay updated on changes in the long-term care climate.
  • Reviewing all performance evaluations and approving salary increases if appropriate, ensuring timely completion.
  • Reviewing accidents and incidents and making recommendations for an effective safety program for residents.
  • Reviewing resident complaints and grievances and making written reports of action taken.
  • Providing security for physical management records, personnel records, and current and closed resident records.
  • Operating, managing, and maintaining the facility in accordance with established policies and procedures.
  • Acting as a liaison with the corporate office and professional and supervisory staff through meetings and reports.
  • Preparing and forwarding required reports to authorities, management, and corporate staff.
  • Ensuring adequate food, nursing, and housekeeping supplies and equipment are available, properly stored, and in working order.
  • Attending facility meetings, including those concerned with utilization, resident care, and safety (e.g., QA, Safety, Care plans, and Medicare).
  • Designating in writing who will be responsible for administrative functions in the Administrator's absence.
  • Reviewing and evaluating reports from the facility’s committees and consultants, and documenting the disposition and implementation of recommendations.
  • Observing activities in each department and on each shift.
  • Instructing facility staff to furnish information regarding residents to authorized agencies or individuals, and maintaining confidentiality.
  • Ensuring that public information describing the services provided by the facility is accurate.
  • Routinely inspecting the facility to assure that established policies and procedures are being implemented and adequate maintenance is maintained.
  • Functioning in a problem-solving capacity regarding facility operations, residents, and staff issues.
  • Cooperating with the medical staff and all those concerned with rendering professional service to ensure quality care for residents.
  • Overseeing and being generally responsible for the overall day-to-day administrative management and operation of the facility's affairs.
  • Monitoring and assuring compliance with applicable laws, rules, and regulations (federal, state, and local).
  • Acting as the HIPAA Privacy Officer for the facility.
  • Selecting and supervising managers of major departments and consulting with them regarding problems; hiring, disciplining, and terminating department employees; scheduling and staffing department personnel; ascertaining quality of performance, wage adjustments, and inter-departmental relationships.
  • Ensuring that all department supervisors attend required training in hazardous communication and safety as established by OSHA guidelines.
  • Maintaining safe working conditions and practices in each department.
  • Training staff in proper work practices during orientation to the department.
  • Monitoring staff to ensure they are following established safety and infection control policies and procedures, including body mechanics and ergonomics.
  • Maintaining attendance records of department supervisors and counseling when appropriate.
  • Reviewing schedules, time punches, and PTO requests for bi-weekly payroll submission.
  • Scheduling work hours and assignments, reviewing and checking staff work performance, and ensuring each shift is properly staffed.
  • Preparing an annual operating budget to achieve organizational objectives.
  • Reviewing and interpreting monthly financial statements and taking appropriate corrective action in response to variances and trends.
  • Planning and overseeing capital improvements.
  • Submitting and recommending for approval the schedule of rates and charges for facility services, along with plans and procedures for the collection and safeguarding of facility funds.
  • Meeting with department managers weekly regarding HPPD, $PPD, budget tracking, evaluations, etc., to assist them in maintaining compliance.
  • Overseeing the petty cash account, accounts receivable, accounts payable, and resident funds.
  • Ensuring the facility achieves compliance expectations as measured by State and Federal surveys.
  • Assisting staff in planning and conducting ongoing training programs to ensure current materials and programs are continuously provided.
  • Managing the worker’s compensation program according to established corporate guidelines, including claims management, Lantis Cares, Safety Bingo, and the Safety Committee.
  • Planning for quality assurance in all departments of the Nursing Home and developing quality improvement plans with committee members.
  • Being in charge of the Quality Assurance Committee and assuring facility involvement and compliance with corporate requirements.
  • Assisting the Admission Coordinator and Director of Nursing in pre-screening potential new residents, with participation in the admission process expected.
  • Assisting department directors in planning, conducting, and scheduling in-service training classes, on-the-job training, and orientation programs to ensure current policies and procedures are reviewed and updated as necessary.
  • Maintaining personal contact with residents and their families or guardians.
  • Ensuring maximum census development.
  • Preparing reports mandated by local, state, and federal statutes and regulations.
  • Marketing the facility to the medical community and the community in general.
  • Being responsible for a Fire Life Safety program to prevent fire and injury to residents, staff, and visitors and to maintain a safe and hazard-free environment in the facility.
  • Ensuring the facility’s compliance with all safety requirements and OSHA regulations.
  • Maintaining physical properties in a good state of repair and operating condition.
  • Attending and participating in company meetings, conference calls, webinar trainings, etc.
  • Performing related duties as assigned or as the situation dictates.
