About The Position

We are seeking a detail-oriented and collaborative Benefits Administrator with 3-5 years of dedicated experience to oversee our day-to-day employee benefit programs. In this fast paced role, you will manage health and welfare plans, drive our 401(k) administration and lead our annual 401(k) audit process. The ideal candidate thrives on operational accuracy, possesses strong knowledge of compliance regulations and serves as a trusted resource for employees navigating their benefits.

Requirements

  • 3–5 years of hands-on experience in benefits administration, specifically managing health insurance plans and 401(k) retirement programs.
  • Familiarity with payroll general processes is also needed.
  • Proven, direct experience preparing for and managing annual 401(k) financial audits.
  • Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field (or equivalent experience).
  • Proficiency with modern HRIS and payroll systems (preferably Workday) and advanced Microsoft Excel skills (vlookups, pivot tables).
  • Solid working knowledge of federal and state regulations governing benefits (ERISA, HIPAA, ACA, COBRA, Section 125).
  • Excellent written and verbal communication skills, exceptional attention to detail, and a high level of empathy and discretion when handling sensitive data.

Responsibilities

  • Manage day-to-day administration of medical, dental, vision, life and voluntary benefit plans.
  • Act as the primary point of contact for employee inquiries, carrier relations, and third-party administrators (TPAs).
  • Coordinate annual Open Enrollment, including system updates, employee communications, vendor management, and presentation delivery.
  • Process life event changes, COBRA notifications, and monthly carrier bill reconciliations to ensure accurate premium payments.
  • Oversee the daily 401(k) plan operations for 2 separate plans, including employee enrollment, contribution changes, loans, distributions, and employer match calculations.
  • Perform regular payroll audit checks to ensure accurate deduction processing and timely transmission of funds to the plan recordkeeper.
  • Educate employees on retirement plan offerings, vesting schedules, and financial wellness resources.
  • Lead the end-to-end annual 401(k) plan audit, serving as the main liaison between external auditors, recordkeepers, and internal finance/payroll teams.
  • Prepare, pull, and organize audit documentation, payroll records, Form 5500 filings, and non-discrimination testing (NDT) data.
  • Ensure strict adherence to ERISA, HIPAA, COBRA, ACA, FMLA, and IRS regulations.
  • Conduct regular internal audits of benefits data across HRIS, payroll, and carrier portals to maintain data integrity.
  • Create PowerPoint presentations and conduct the presentations for all benefit plans during Open Enrollment and any other relevant presentations.
