About The Position

ATA Services, Inc., is looking for an Administrative Technician to help support Vermont's Department of Children and Families. Requirements

  • Working knowledge of record keeping, filing, office management practices, procedures, and standard administrative processes.
  • Working knowledge of English grammar, spelling, vocabulary, and punctuation.
  • Ability to understand and follow complex oral and written instructions; organize and maintain accurate records; collect, review, and enter information accurately; prepare routine correspondence and notices; and communicate effectively, both orally and in writing.
  • Ability to use standard office technology and computer applications.
  • Ability and willingness to receive training and develop proficiency in Excel and other systems utilized by the program.
  • High school graduation or equivalent and one year of office or clerical experience; or Completion of a vocational or technical training program in business, office administration, financial support, or a related field; or one year or more of college-level study in accounting, business administration, public administration, or a related field.

Nice To Haves

  • Basic familiarity with Microsoft Excel or similar spreadsheet software is desirable.

Responsibilities

  • Performs a variety of administrative and clerical duties in support of the Vermont Homelessness Response Continuum (VHRC).
  • Prepares, generates, reviews, and mails notices and other correspondence to clients.
  • Assists with maintaining, reviewing, and updating program records, reports, forms, and tracking documents to ensure information is accurate and complete.
  • Collects and reviews client information and enters information into appropriate systems, forms, spreadsheets, and program records. Maintains and updates waitlists and other tracking lists for households seeking emergency housing assistance.
  • Prepares and processes extension request documentation and other program-related paperwork.
  • Uses established office systems and procedures to organize, file, retrieve, and maintain electronic and/or paper records.
  • Assists with tracking program activities, deadlines, requests, and client information.
  • May perform data entry and basic spreadsheet functions using Microsoft Excel or similar programs and must be willing and able to learn additional systems and applications used by the program.
  • Communicates with staff, clients, and other parties regarding administrative processes and documentation.
  • Follows established procedures and complex oral and written instructions while handling information accurately and maintaining appropriate confidentiality.
  • Performs related administrative and clerical duties as assigned.
