About The Position

Virginia Cooperative Extension (VCE)-Prince William is seeking an organized, service-oriented Administrative Technician to support the Parent Education Program. This part-time benefitted County position helps families access classes and services while keeping registration, records, class logistics, and routine fiscal processes accurate and on schedule. The Administrative Technician is a primary administrative contact for Parent Education participants, instructors, referral partners, and the public. The position works closely with the Parent Education Program Manager and program team to support day-to-day operations.

Requirements

  • High school diploma or G.E.D.

  • Two or more years of experience providing administrative and customer-service support in an office, educational, human-services, nonprofit, government, or similar environment.
  • One or more years of experience managing registrations, schedules, participant or client records, or program databases.
  • One or more years of experience handling payments, receipts, deposits, procurement-card transactions, purchasing documentation, or similar financial records.
  • One or more years of experience reconciling accounts or financial transactions and researching or resolving discrepancies.
  • Two or more years of experience using Microsoft 365 or comparable business applications in a professional setting, particularly Outlook, Word, and Excel; experience with Teams and SharePoint is desirable.
  • Professional working or conversational proficiency in Spanish.

Responsibilities

  • Process walk-in and electronic registrations; respond to routine telephone, email, and in-person inquiries; collect and receipt program fees; and send confirmations, reminders, and schedule changes.
  • Maintain the participant database and registration system, including registration, attendance, and class-completion data, and prepare routine completion documentation and certificates.
  • Prepare participant rosters and class surveys; maintain the Prince William County web scheduling page; and support class schedules, instructional materials, room arrangements, and routine program communications.
  • Prepare most program deposits, maintain supporting records, and coordinate independent verification of deposits.
  • Serve as the program procurement card (P-card) holder, make authorized purchases, maintain required documentation, and submit complete P-card records to VCE Business Services for allocation and subsequent approval.
  • Reconcile assigned Parent Education financial records and accounts, research discrepancies, and coordinate follow-up with Business Services and program leadership.
  • Maintain SharePoint files, spreadsheets, participant and class records, and other program documentation in accordance with confidentiality and records-management requirements.
  • Provide general administrative support to the Program Manager and program team and occasional logistical support for evening or weekend program activities.
