About The Position

The Administrative Technician provides high-level administrative and operational support to the North Bullfrog team. The role is responsible for coordinating office activities, managing communication, maintaining records, preparing reports and presentations, and supporting daily business functions to ensure efficient operations of the mine site. As a key team member reporting to the Operational Readiness Director, the Administrative Technician partners closely with Site Leadership, Human Resources, Safety, and operational departments to ensure seamless administrative execution, robust document control, and efficient site support across Nevada Projects.

Requirements

  • High School Diploma or equivalent required; Associate’s Degree in Business Administration, Office Management, or related administrative field preferred.
  • Minimum 2 to 4+ years of progressive administrative, clerical, or office support experience.
  • Prior experience supporting senior leaders within mining, construction, heavy industrial, or engineering project environments preferred.
  • Demonstrated success managing high-volume operational logistics, travel rostering, and site facility support.
  • Proven experience utilizing enterprise ERP systems (e.g., SAP, Coupa) and document control platforms (e.g., SharePoint) for procurement and administrative workflows.
  • Working knowledge of procurement cycles, including purchase orders, goods receipts, and three-way invoice matching within resource-based operations.
  • Familiarity with mine site administrative protocols, contractor onboarding, and basic site safety orientation workflows.
  • Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Teams).
  • Strong organizational, multitasking, and time-management capabilities with high accuracy in data entry and record maintenance.
  • Excellent verbal, written, and interpersonal communication skills with a customer-focused approach.
  • Proven ability to handle confidential information with discretion and high integrity.
  • Strong problem-solving abilities and customer service mindset.
  • Ability to build trust and maintain productive relationships with employees, contractors, and corporate partners.
  • Valid driver's license required with the ability to operate company vehicles safely and travel between company locations as required.
  • Must be legally authorized to work in the United States.
  • Ability to work a 4-day, 10-hour day shift schedule (Monday–Thursday or Tuesday–Friday), with flexibility for weekend or evening work as operational needs require.
  • Willingness to initially work based in Las Vegas and/or Beatty office locations, transitioning to the North Bullfrog Operations site once facilities are completed and operational.

Responsibilities

  • Coordinate daily office operations, maintain inventory of office supplies and equipment, manage incoming/outgoing mail and courier logistics, and maintain clean, professional meeting and common areas.
  • Serve as a liaison between site departments, Nevada Projects Office, Corporate office, and external stakeholders.
  • Administer the site badging and visitor management systems, issuing security passes, tracking access logs, and verifying site orientation clearances for employees, contractors, and guests.
  • Manage regional travel bookings, vehicle fleet assignments, flight schedules, and camp/hotel lodging reservations for site crews, corporate visitors, and technical consultants.
  • Create purchase requisitions (PRs), generate goods receipts (GRNs) in SAP, track vendor invoices, and assist department leaders with monthly credit card reconciliations and expense processing.
  • Maintain technical files, scanning, archiving, and document indexing within SharePoint and internal record management systems in compliance with corporate information governance standards.
  • Assist with scheduling, agenda preparation, meeting room setup, audiovisual support, and catering logistics for leadership meetings, safety briefings, and site town halls.
  • Collaborate with Human Resources and Site Safety teams to assemble new-hire orientation packets, distribute site communications, and maintain updated emergency contact rosters.
