About The Position

Under general supervision, performs a variety of difficult, responsible and specialized administrative, technical and staff support functions. This role may involve grant research and data collection, preparation of grant applications, and the creation and maintenance of specialized reports, records, and files. The Administrative Technician interacts with District administrators, staff, faculty, and parents on technical matters, and communicates with external funding agencies to ensure accountability and compliance. The position performs related duties as assigned.

Requirements

  • High School Diploma or equivalent.
  • Three years of increasingly responsible office administrative, specialized administrative support or secretarial experience.
  • Demonstrated competency in WORD, EXCEL, ZOOM and OUTLOOK.
  • Possession of a valid and appropriate California Driver's License.
  • Insurability by the district liability insurance carrier may be required.
  • May be required to provide own transportation to sites during workday.

  • Associate Degree or Equivalent in public or business administration or other related field preferred.

Responsibilities

  • Performs difficult technical and administrative work in support of department functions and processes with a significant degree of independent accountability.
  • Plans, organizes, and coordinates activities to assist program administrators.
  • Conceptualizes, designs, and creates complex graphic layouts, forms, formats, announcements, logos, and presentations.
  • Conducts research into funding sources for specialized education-based programs.
  • Prepares grant applications and related grantee performance reports.
  • Serves as a department liaison, communicating policies and procedures to various groups.
  • Handles inquiries regarding department functions and responsibilities, and researches and responds to requests.
  • Organizes and assists with activities, special projects, meetings, and workshops.
  • Coordinates field trip reservations and develops processes for complaint procedures.
  • Creates, develops, maintains, and updates specialized forms, databases, logs, files, records, and reports.
  • Designs and maintains spreadsheets requiring data interpretation and manipulation.
  • Assembles, types, and maintains bid specification packages.
  • Schedules division work orders, performs preliminary assessments, and records detailed information on work performed and associated costs.
  • Researches and compiles data for specialized reports and special projects, ensuring data accuracy.
  • Assists in preparing curriculum products and board agendas.
  • Organizes, maintains, and updates confidential subject, project, and specialized technical files, documents, and records.
  • Creates, maintains, and updates filing systems.
  • Copies, compiles, and distributes contracts, reports, documents, and other materials.
  • Maintains department and staff budget information, monitors expenditures, and prepares reports.
  • Notifies schools or staff when they have exceeded their budget.
  • Attends and makes arrangements for meetings, including organizing materials and workshops.
  • Makes arrangements for conferences, coordinating and scheduling reservations for meeting rooms and office equipment.
  • On a relief basis, may perform secretarial functions including answering phones, greeting visitors, preparing and maintaining calendars, and administering the department's online calendar.
  • Types, formats, edits, revises, proofreads, and prints reports, correspondence, agreements, contracts, board items, and other specialized and technical materials.
  • Types from rough notes, drafts, dictation, modified standard formats, and brief oral instructions.
  • Designs and creates customized forms and charts.
  • Edits and revises materials on diskette.
  • Reviews documents for accuracy, completeness, and compliance with District requirements.
  • Data enters information into databases.
  • Provides translations and translates correspondence and documents.
  • Opens, screens, and distributes mail and correspondence.
  • Maintains staff attendance reports and records.
  • Computes fees for accurate payments and sends to appropriate departments.
  • Processes stipends, additional assignments, and substitute time cards.
  • Signs time cards in supervisor's absence.
  • May provide guidance and direction to other office clerical employees.
  • Trains employees on office policies and procedures and use of department forms.
  • Prioritizes and schedules duties and assignments.
  • Monitors work assignments for Specially-funded programs.
  • Performs computer troubleshooting and dispatches calls for repairs.
  • Upgrades and maintains software applications.
  • Provides training to staff on software applications.
