About The Position

The Administrative Support Professional is a key member of the Business Administrative team, providing high-level administrative support while helping ensure the smooth day-to-day operation of the office. This role supports multiple departments through administrative coordination, accounting support, reception coverage, and office management responsibilities. The ideal candidate is highly organized, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced environment.

Requirements

  • Requires frequent sitting, standing, balancing, bending, or stooping for prolonged periods of time.
  • Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment.
  • Ability to communicate by providing verbal and written feedback in a professional manner.
  • Normal range of hearing and vision.
  • High school diploma or equivalent required.
  • Valid Driver's License and MVR in good standing.
  • Minimum of two years of administrative support, office management, executive administrative support, or related experience.
  • Ability to multitask and work successfully in a fast-paced environment.
  • Self-starter who requires little supervision and demonstrates strong initiative.
  • Strong analytical and problem-solving skills.
  • Proficient in using computers and multiple software applications simultaneously.
  • Outstanding organizational and time management skills.
  • Exceptional attention to detail and accuracy.
  • Superior verbal and written communication skills, including in-person, telephone, and electronic communication.
  • Professional demeanor with strong interpersonal and customer service skills.
  • Ability to successfully complete a General Abilities Assessment and pass a post-offer background check, physical, and drug screening.

Responsibilities

  • Provide high-level administrative support by conducting research and handling information requests.
  • Perform clerical tasks such as preparing correspondence, scheduling meetings, and maintaining records.
  • Answer and direct incoming calls.
  • Sort inbound and outbound mail and distribute it in a timely manner.
  • Review credit card statements and code expenses for the Accounting Department.
  • Post Accounts Receivable deposits daily and assist with inter branch accounting.
  • Post Accounts Payable credit card entries.
  • File documents and maintain organized records as needed.
  • Order and maintain office supplies to ensure adequate inventory levels.
  • Balance and manage cash drawer requests.
  • Track and manage deposits for multiple locations.
  • Manage gas cards and company vehicles for multiple locations.
  • Coordinate corporate vehicle scheduling and maintenance.
  • Facilitate monthly updates for sales licenses and salesperson bonds and coordinate new license applications.
  • Process business card requests.
  • Provide back-up support to the Executive Administrator.
  • Assist with coordinating administrative and reception coverage to ensure efficient office operations and exceptional customer service.
  • Ensure reception coverage during business hours and maintain a professional first impression for visitors and callers.
  • Other duties as assigned by management.
