About The Position

This position is responsible for providing administrative support within the Corrections department, focusing on financial and business services. Key duties include managing purchasing processes, reconciling financial records, maintaining data, and providing customer service. The role requires attention to detail, adherence to policies, and effective communication skills. The position is based in Sedgwick County and requires a valid driver's license and personal vehicle for certain tasks.

Requirements

  • High school diploma or equivalent.
  • Certified transcript(s) required to verify education credits.
  • One year of experience in responsible financial administrative support work.
  • Must be 21 years of age.
  • Valid driver's license without restrictions.
  • Current proof of automobile insurance.
  • Personal vehicle for use when county vehicle is not available.
  • Pass legal background check.
  • Pass Child and Adult Abuse & Neglect Central Registry checks.
  • Pass KCJIS Security Policy (fingerprint) check.
  • Pass pre-employment screens.
  • Meet the required conditions contained in KSA 65-516 and KAR 28-4-356.

Responsibilities

  • Serve as department shopper, utilizing county approved purchasing systems to order goods and services for all DOC facilities and programs.
  • Review and verify invoice accuracy, complete goods receipt transactions, and submit invoices for payment, ensuring compliance with policies and proper funding source/expenditure code utilization.
  • Track and coordinate with Sedgwick County Finance to rectify payment discrepancies.
  • Reconcile department assigned purchasing cards, ensuring accuracy and completion of required documentation.
  • Research orders to identify more cost-effective items.
  • Act as the primary point of contact for obtaining quotes and vendor options.
  • Reconcile and enter weekly deposits from all DOC programs and facilities.
  • Reconcile staff mileage and obtain necessary approvals.
  • Coordinate registrations, scheduling, procurement, and travel reservations for DOC staff.
  • Create and maintain spreadsheets for tracking purchases and invoices.
  • Develop and maintain documentation, processes, and procedures for all duties.
  • Provide professional and responsive customer service to internal and external stakeholders.
  • Answer and route incoming phone calls.
  • Receive, sort, stamp, and distribute departmental mail/goods.
  • Provide constructive feedback and recommendations for improvements.
