About The Position

The City of Lake Oswego is seeking a dynamic and skilled administrative support professional to provide reception and administrative support for the main reception desk at City Hall in the afternoons five days per week. This is a unique and exciting "job-share" opportunity to provide outstanding customer service at our front desk operations. This part-time position averages approximately 23 hours per week and covers the afternoon shift from 12:30 to 5:00 p.m., Monday through Friday. This position requires the employee to work in the office; there is no remote work option. The position is represented by the Lake Oswego Municipal Employees Association (LOMEA)/ American Federation of State, County and Municipal Employees (AFSCME).

Requirements

  • Successful candidates will be quick learners who enjoy assisting visitors, bring positive energy to the office environment, can prioritize and switch efficiently between tasks, and come from a positive customer service-oriented background.
  • Excellent communication skills and the ability to engage with the public and City employees in a clear, tactful and courteous manner.
  • Proficient in Microsoft Word, Excel, Outlook, and Adobe Acrobat.
  • Detail-oriented.
  • Ability to use general office equipment.
  • Accurately type and proofread documents in a timely manner.
  • Mandatory participation in electronic funds transfer (EFT) for payment of net wages (i.e., Direct Deposit or PayCard).

Nice To Haves

  • At least two years of related experience or any equivalent combination of education and experience to successfully perform the duties of the position.
  • An associate's degree or higher.

Responsibilities

  • Receive visitors and answer telephone calls on a multi-line phone system, respond to general inquiries, and direct callers and visitors to appropriate staff.
  • Perform data entry assignments; proofread, research, scan, gather, and compile information and figures for a variety of reports.
  • Receive packages and route mail as appropriate.
  • Receive and review permit applications for basic completeness.
  • Compile documents for bulk mailings and distribution of notices and correspondence.
  • Assist in maintaining various databases.
  • Maintain reference documents for the front desk.
  • Assist in updating City’s online calendar with meetings and events.
  • Maintain basic office equipment by communicating with IT.
  • Effectively communicate with Facilities when issues arise in building.
  • Utilize city website and other search engines to locate information for callers/visitors.
  • Assist with cashiering duties, including accepting and processing payments through Accela, reconciling cash, and issuing receipts.
  • Perform basic administrative and reception desk duties and other tasks of a similar nature or level.
