About The Position

Mercer University School of Engineering is searching for an Administrative Support Associate on the Macon, Georgia campus. This role is responsible for the management of specific projects independently related to the School of Engineering. Responsibilities include supporting associate deans by providing detailed information, working independently on projects, updating the Engineering portion of the catalog and academic annual schedules in coordination with the Registrar’s Office, and performing other assigned duties.

Requirements

  • High school diploma/GED and two years of prior administrative support experience are required. In lieu of experience, one year of college coursework and one year of experience will also be considered.
  • Ability to create, edit, and sort Microsoft spreadsheets, including the ability to create simple formulas in Excel.
  • Working knowledge of Word for revision of the University Catalog and production of letters.
  • Effective communication skills with students, prospective students, visitors, faculty, and staff.

Responsibilities

  • Making and distributing a draft academic schedule to departmental and program chairs based on the previous academic year course offerings to determine the upcoming year’s schedule.
  • Coordinating requests for engineering building usage, keeping a record of building layout for classrooms and laboratory assignments, maintaining a calendar for all scheduled events inside and outside of the School of Engineering, and managing programming of informational monitors in engineering building lobbies.
  • Managing and coordinating processing of new faculty and adjunct hires.
  • Assisting the Scholarship and Academic Standards Committee by preparing reports on student academic performance for the committee to review in making its decisions on student progress.
  • Assisting with student recordkeeping by coordinating active, inactive, graduated, and suspended files; processing undergraduate transfer reports, change of grades, degree audits, and graduation certifications; and managing student records by creating a new account and enrolling admitted undergraduate and graduate students in Anthology.
  • Coordinating activities and awards associated with the Teacher of the Year, Honor's Convocation, and Order of the Engineer.
  • Providing support to student workers, senior design teams, and honors program members through ordering supplies, assisting with time sheets, booking student travel and processing travel reimbursements.
  • Maintaining an office presence during normal business hours to greet and assist students, faculty, and other visitors to the engineering buildings and serving as a back-up to assistant to the dean as required.
