About The Position

The Pennsylvania State University, Residence Life, is seeking a candidate for an Administrative Support Assistant to serve as the first point of contact in person and via phone, maintain confidential information, and coordinate the needs of the unit across the Commonwealth. The successful candidate will be responsible for greeting customers, providing information, and referring them as appropriate. They will also screen and process routine telephone communications, mail, and requests, and schedule and maintain calendars for appointments, meetings, and travel itineraries. This role involves monitoring and maintaining budgets, processing financial transactions, and tracking expenditures. Additionally, the position requires coordinating travel arrangements, making reservations, and processing reimbursements. The Administrative Support Assistant will maintain files and databases, assemble and format data for simple reports, and prepare documents, meeting materials, and correspondence. Routine updates and changes to web pages will also be part of the duties, along with maintaining confidential and sensitive information. The role includes recording and distributing meeting minutes, composing and editing written communication, and maintaining office supply inventory, including ordering or purchasing supplies.

Requirements

  • General Equivalency Diploma (GED) or High School (HS)
  • 2+ years of relevant experience; or an equivalent combination of education and experience accepted
  • Employment with the University will require successful completion of background check(s) in accordance with University policies.
  • Applicants must be authorized to work in the U.S.

Responsibilities
