About The Position

The Iowa Department of Health and Human Services (HHS), Division of State-Operated Specialty Care, Bureau of Woodward Resource Center (WRC) is seeking an Administrative Support Assistant 3 to join our Staffing Unit. This is a full-time position scheduled Monday – Friday, 9:00 a.m. - 5:30 p.m. with a monthly weekend rotation. As an Administrative Support Assistant 3, you will assist in assuring work assignments are scheduled and filled, enter accurate and timely information from the staffing boards into the scheduling system on an ongoing basis, and serve as an expert for staffing and direct care payroll issues. WRC prepares and supports individuals to live in the community of their choice. Requirements

  • Two years of full-time work experience in general office, clerical, data entry/processing, or related work.
  • A total of two years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.
  • Current, continuous experience in the state executive branch that includes six months of full-time work as an Administrative Support Assistant 2 or eighteen months of full-time work as an Administrative Support Assistant 1.
  • Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification.
  • Within a period of time after hire, as determined by the appointing authority, employees in this class may be required to type at least 40 WPM net as demonstrated by the completion of a typing examination.

Responsibilities

  • Assist Assistant Superintendent of Habilitation Services in assuring work assignments are filled and carried out.
  • Complete time-keeper duties for the Habilitation Services Department using Kronos and Workday to assist in completing payroll processing every two weeks.
  • Serve as a resource to WRC staff as appropriate in matters relating to scheduling, clerical and Habilitation Services.
  • Respond to requests and coordinate services.
  • Interpret personnel and timekeeping policies and procedures to direct care staff and their supervisors as needed.
  • Coordinate with others within the Staffing Unit so that procedures used are consistent.
  • Prepare reports, other typed materials, and general clerical work.
  • Maintain staffing files and records including confidential/sensitive payroll and leave-related matters.
  • Perform related duties as required.
