About The Position

Within the context of a client and family centered care model and in accordance with established vision and values of the organization, the Administrative Supervisor is responsible to oversee the daily operation of an office/program and the delivery of administrative support services. Supervises designated staff, schedules/monitors work to ensure accurate/timely completion of tasks and provides guidance/advice and feedback in the performance of work. Assists in the development and implementation of worksite policies/procedures and related documents in response to organizational needs. Identifies opportunities to streamline clerical processes and procedures. Assists in monitoring expenses against approved budgets, provides input into office needs, regular ongoing and/or anticipated expenses. Investigates variances and liaises with finance to resolve. Maintains/reconciles petty cash account/s. Purchases stationery supplies, reviews/authorizes expenses according to established procedures. Attends to facility maintenance, safety/security matters, liaises with building maintenance, safety/security personnel to ensure the resolution to issues.

Requirements

  • Grade 12, supplemented by a recognized diploma in Business Administration plus three (3) years’ recent, related experience including one (1) year supervisory experience, or an equivalent combination of education, training and experience.
  • Valid BC Driver’s license and access to a vehicle for business-related purposes, as required.
  • Ability to supervise.
  • Ability to plan, organize and prioritize.
  • Ability to work independently and in cooperation with others.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to analyze and resolve programs.
  • Knowledge of general office procedures including business writing skills, medical terminology and experience completing financial transactions.
  • Ability to evaluate and monitor administrative systems and procedures.
  • Ability to type 50 w.p.m.
  • Ability to operate related office equipment including applicable software applications.
  • Physical ability to carry out the duties of the position.
