About The Position

An employee in this class performs a variety of administrative support, records processing, data entry, customer service and related office duties in the Transportation Department. The range of work extends from routine to advanced journey in complexity but is generally considered journey level. Work includes greeting the public and answering questions about the department and providing customer service; typing or data entry work; compiling information for reports; billing of transportation services; and creating and maintaining accurate files and records. The employee is expected to have a good understanding of the department and its services to respond to inquiries, including some technical knowledge about legal requirements and processes, policies, and procedures, and may include responsibility for a specific phase of a program or office activity. Customer service duties require courtesy, tact and some independence of action particularly when encountering sensitive or confidential matters. Work has moderate complexity and some variety in daily assignments or activities.

Requirements

  • Considerable knowledge of modern office procedures and related office information technology equipment, software, and peripherals.
  • Working knowledge of ordinances, regulations, procedures and practices related to area of assignment and of the organization’s personnel and purchasing procedures.
  • Skill in the use of information technology equipment and associated software products such as word processing, spreadsheets, and data bases used in area of work assignment.
  • Ability to work independently on responsible administrative support tasks, some of which may be confidential or sensitive.
  • Ability to keep fiscal and statistical records, ledgers, and files and provide information correctly and concisely.
  • Ability to communicate effectively in oral and written form in person and by telephone.
  • Ability to be tactful and courteous while conducting the County’s business.
  • Ability to establish and maintain effective working relationships with supervisors, coworkers, and the general public.
  • Graduation from high school supplemented by business courses and administrative or clerical experience including customer service; or an equivalent combination of education and experience.

Responsibilities

  • Validates transportation driver sheets; ensures correct recordation for billing purposes; audits Medicaid slips and RGP tickets.
  • Prepares County reimbursement reports for accounting.
  • Provides general information regarding County transportation to the public.
  • Receive and reconcile cash from fares daily making sure the correct amount was actually collected.
  • Prepare deposit, enter into LOGOS accounting system, deliver cash to finance department
  • Enter vehicle and maintenance information as needed to asset works including completed work orders, parts purchased and maintenance requried
  • Process Medicaid bath upload bi-monthly to NC tracks site including testing on the RAMP testing site and resolving any errors or issues that could cause the batch to be rejected
  • Determine amount to bill Medicare using the contractual amounts and enter all billing amounts weekly to Medicare's website.
  • Serves as backup to front desk
  • Schedules transportation for clients and dispatching drivers
  • May coordinate or assist with the work of others, typically in their absence
  • Performs others related duties are required.
