About The Position

The Kentucky Department of Workers’ Claims has exclusive jurisdiction over workers' compensation matters and is the agency responsible for administering claims and ensuring compliance with the workers’ compensation provisions contained in KRS Chapter 342. The Department is committed to improving service and reducing costs to its stakeholders in the Commonwealth. The Department of Workers’ Claims is seeking to fill an Administrative Specialist Senior position located within the Division of Specialists and Medical Services. This position requires performance of duties within the state of Kentucky. At the time employment commences, the employee must be able to commute to and work in Frankfort, Kentucky. This position will have access to confidential and sensitive information. The successful candidate will be required to safeguard and secure all confidential and sensitive information and will be required to complete training, sign acknowledgements, follow all policies, and adhere to all statutes and requirements pertaining to the safeguarding and security of confidential and sensitive information while employed and after employment ends. The Department participates in E-Verify and will provide the federal government with your Form I-9 information to confirm that you are authorized to work in the United States. The DWC will only use E-Verify once you have accepted a job offer and completed the Form I-9.

Requirements

  • Graduate of a college or university with a bachelor's degree.
  • Three years of professional, administrative, or business experience.
  • Additional education will substitute for the required experience on a year-for-year basis.
  • Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Responsibilities

  • Coordinates with staff and leadership to assign and track work tasks among case specialists, maintaining organized tracking systems to ensure equitable workload distribution and adherence to division policies and procedures.
  • Provides professional administrative support to division leadership in support of daily operations and functions, including preparing correspondence, maintaining records, coordinating division activities, and assisting with administrative processes necessary to ensure effective operation of the division.
  • Processes and distributes incoming mail, email, and voicemail communications from external agencies and stakeholders.
  • Determines appropriate routing of inquiries to division staff, responds to routing questions regarding departmental policies and procedures, and ensures timely distribution and follow-up.
  • Generates and compiles data for recurring reports, including weekly, monthly, quarterly, and annual reporting by running reports, organizing information, and ensuring accuracy and timely submission in accordance with departmental requirements.
  • Coordinates travel arrangements for division staff and leadership, including travel planning and completing travel vouchers for reimbursement in accordance with departmental policies and procedures.
