About The Position

The Office of Policy and Audit (OPA) is seeking a highly organized and detail-oriented Administrative Specialist Senior to provide professional administrative and clerical support to agency leadership and staff. This position plays a vital role in providing support for the Policy Branch and the Audit Branch. As an Administrative Specialist Senior with the OPA in Frankfort, you will provide high-level administrative support that helps ensure the effective operation of the agency.

Requirements

  • Strong written and verbal communication skills.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong interpersonal and customer service skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, Teams, and PowerPoint.
  • Experience with eMARS
  • Ability to prioritize multiple tasks and meet deadlines.
  • Ability to work effectively both independently and as part of a team.
  • Graduate of a college or university with a bachelor's degree.
  • Three years of professional, administrative, or business experience.
  • Additional education will substitute for the required experience on a year-for-year basis.
  • Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Responsibilities

  • Provide administrative support to agency management and staff as needed.
  • Maintain up-to-date tracking spreadsheet of the policy status, communicate with stakeholders, and addressing inquiries on status or content and move policies through the draft and approval stage.
  • Ensure that policies are updated on the required websites and the intranet policy sites and assist with updating and reviewing policies for the electronic acknowledgment portal.
  • Prepare correspondence, agendas, meeting minutes, and other documents.
  • Maintain agency records and files in accordance with established procedures.
  • Assist with audits, such as helping audit staff with audit documentation review and testing for compliance with policies and procedures.
  • Provide excellent customer service to internal and external stakeholders.
  • Support special projects, perform comprehensive research and perform other duties as assigned.
