About The Position

The Administrative Specialist III is the frontline office representative for the Disability Resource Center (DRC). The Administrative Specialist III plays an essential role in contributing to the overall success of the DRC, and creating a welcoming and inclusive environment for the UA Little Rock campus community. This position assists with day-to-day operations and consults with faculty, students, other campus stakeholders, and outside entities regarding Universal Design and reframing disability. This position is governed by state and federal laws and agency/institution policy.

Requirements

  • The formal education equivalent of a high school diploma, plus one year of specialized training in business management, business education, or a related field; Two (2) years of experience in a specialized or a related field applicable to work performed.

Responsibilities

  • Coordinate the departmental budget in Workday and in Google Sheets, ensuring accurate codes and charges for all encumbrances and disbursements in both programs.
  • Maintain a record of budget changes and financial status reports.
  • Communicate with vendors and other UA Little Rock departments to answer questions and resolve account and billing discrepancies
  • Process purchase requisitions for goods and services, and follow up with vendors to ensure on-time delivery and payment
  • Research the current versions of UA Little Rock vendor and supplier contracts
  • Complete yearly university inventory process for DRC digital equipment and adaptive technology.
  • Monitor supply and equipment stock, determine needs, and place requests for necessary items.
  • Operate and provide routine maintenance of office equipment (i.e., changing cartridges)
  • Establish and maintain an organized file system
  • Welcome and assist students and visitors, keeping a clean and professional-looking welcome space
  • Coordinate the process for students to obtain services through the DRC, including information on applications, appointment setting, accommodations, and accessible parking
  • Receive and direct incoming calls appropriately
  • Schedule appointments with DRC staff using Google Calendar processes
  • Enter student information into the DRC database when appropriate
  • Consult and collaborate with faculty, students, other campus stakeholders, and outside entities to assist students in navigating disability-related barriers
  • Establish collaborative relationships by serving on campus committees as appropriate
  • Participate in strategic plan activities
  • Sort and distribute letters and parcels
  • Run errands on campus
  • Perform other related duties as required
