Georgia State University’s Perimeter College seeks a strategic and collaborative leader to serve as Administrative Specialist II. Reporting directly to Associate Dean, Enrollment Management, this role functions as a liaison to the Associate Dean on all communications and correspondence and the first point of contact for the department’s front office function.

Requirements

  • Bachelor’s degree and two years of related experience, or a combination of education and experience.

Responsibilities

  • Communicate via email with students and faculty regarding academic dishonesty and grade appeal cases.
  • Provide administrative support to the Associate Dean's office and associated functional team, including but not limited to drafting memos, emails, presentations, reports, newsletter, answering the telephone, providing referral and navigation assistance to various university offices, copying, filing, retrieving information, preparing agendas, records minutes, accreditation support, drop-off point for packages, maintaining contact list, print fund, and swipe card access requests and other administrative duties as designated by the assistant/associate dean/director.
  • Oversee travel arrangements and payment processing for travel expenses (e.g., travel/room/meal reservations and accommodations on behalf of the assistant/associate dean/director, as well as group travel arrangements for faculty and student groups when directly related to the office's mission).
  • Schedule and reserve meeting rooms, audiovisual equipment, and other communications media for all department staff. Coordinate college-wide space reservations with PC Facilities.
  • Assist in planning departmental, campus and college-wide meetings and special events (e.g., conferences, award ceremonies, testing sites, commencement, Faculty Development Day, Staff Development Day, Bennekin symposium).
  • Assist with emergency coordination for the department and occasionally participate in emergency preparedness meetings and activities.
  • Leverage technology/systems to support data management for various university
  • Assist with support of the college website and university catalog (e.g., collecting information/content, reviewing pages) and reporting updates and corrections to PR MARCOM. Attend meetings as necessary regarding these items (for example monthly DegreeWorks meeting).
  • Communicate the department's internal control policies, deadlines, and procedures as prescribed by the department's administrators. Attend regular departmental, campus and college-wide meetings as needed. Maintain inventory of department equipment and supplies and coordinate disposal of surplus property. Serve as the department based point of contact for reporting facilities matters, monitor department or building facilities to ensure proper functionality. Report and coordinate equipment maintenance as needed.
  • Assist in training and onboarding department and/or college new hires (including swipe card access, keys, guidance related to routine departmental administrative procedures). Provide academic support as needed (BANNER overloads overrides, drop/adds, registration holds, book orders, etc.) Support student organizations as directed by the department's administration (e.g. room scheduling, copying, travel arrangements, information gathering). Conduct and manage special projects as assigned.
