About The Position

The Department of Public Health Seattle & King County is seeking to hire two (2) Term-Limited Temporary (TLT) or Special Duty (SDA) Administrative Specialist IIs to join their team at Jail Health Services. This role provides specialized technical and program-specific information, requiring limited interpretation of established policies and procedures, to internal and/or external customers via telephone, in writing, and/or in person. A key responsibility includes processing and scanning a high volume of medical documents into an Electronic Health Record system. The position is also responsible for safely distributing materials throughout multiple units within Jail Health Services (JHS) and performing support activities for multiple disciplines in high-volume healthcare settings. Jail Health Services (JHS) provides essential health and social services to the incarcerated population in King County jails, including medical, dental, mental health, social services, release planning, substance use disorder treatment, and pharmaceutical services. JHS aims to provide high-quality health and human services, with a vision of "Opening doors to healthier, happier lives" and a mission focused on assessing and stabilizing serious health problems for the detained population, with an emphasis on transition from jail. Staffed 24/7, JHS manages the complex health needs of underserved populations, many of whom have pre-existing acute and chronic health conditions and limited access to community care. This is a temporary opportunity, anticipated to last 6 months, with potential adjustments based on funding sources. It can also be filled as a Special Duty Assignment for existing King County employees with supervisor approval.

Requirements

  • Proficiency in Microsoft Windows Office.
  • Demonstrated data entry skills with at least 95% accuracy.
  • Basic accounting and mathematics.

  • Ability to communicate effectively both orally and in writing.
  • Ability to maintain confidentiality on sensitive matters and follow patient HIPPA privacy rule.
  • Demonstrated ability to use office equipment including fax machine, copiers, scanner, label maker, and printers.

  • Demonstrated ability to prioritize and complete multiple tasks simultaneously.
  • Demonstrated team collaboration creating a constructive and welcoming environment.
  • Ability to push, pull or move items greater than 40 pounds, with or without accommodation.
  • Ability to reach above head, kneel, bend, stoop, push a cart and navigate throughout a multi-story building using stairs and to walk greater than 300 yards.
  • Must be a Career Service, Career Service Exempt or other regular (non-temporary) employee in King County who has completed their initial County probation (for Special Duty Assignment interest).
  • Supervisor approval prior to taking a Special Duty Assignment (for Special Duty Assignment interest).

Responsibilities

  • Process and scan a high volume of medical documents into an Electronic Health Record system.
  • Triage a high volume of telephone calls from the public seeking information on residents, potentially dealing with sensitive or volatile situations.
  • Utilize Microsoft Windows-based software and accurately enter data into multiple databases.
  • Pick up, deliver, and stock documents, requiring navigation throughout a multi-story building using stairs, a stocking cart, and lifting items up to 40 pounds.
  • Participate as a member of the Jail Health Services Health Information Management (HIM) Team.
  • Train other Administrative Specialist IIs in processes and procedures.
  • Handle patient registration.
  • Manage insurance processing activities.
  • Perform other duties as assigned.
