This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, Santee-Wateree MHC, 801 N. Pike West, Sumter, SC 29153. Under direct supervision of the Office manager and Clinic Director you will perform administrative support duties for the Sumter Adult Services Clinic.

Requirements

  • A high school diploma. Related clerical experience may be substituted for a high school diploma.
  • Ability to operate non-adaptive vehicles.
  • Ability to lift 50 lbs.
  • Ability to complete MAPS training.
  • Travel throughout the Santee-Wateree CMHC catchment area as directed.
  • Perform a variety of administrative support and advanced office duties such as typing, filing and answering the phone.
  • Operate office equipment to compile, type, revise, edit, print and store correspondence, reports, records and other documents.
  • Apply knowledge of grammatical rules, clerical formats and/or principles.

Nice To Haves

  • Bi-lingual abilities in English and Spanish (or other language) are a plus.
  • Experience working in a medical office.

Responsibilities

  • Provide quality customer service to patients, public and staff.
  • Open the office by unlocking clinic doors in the morning by 8:30 AM, and ensure the building is cleared of all patients and locked at 5:00 PM.
  • Clear all messages on answering service.
  • Answer phone calls, transfer calls to appropriate staff, take medication calls and email appropriate staff.
  • Coordinate scheduling for adult services by checking patients in and out, rescheduling as needed and documenting all rescheduled appointments in the EHR.
  • Ensure verification of insurance.
  • Provide appointment reminder calls to patients.
  • Conduct and participate in cross-functional training in all front desk administrative duties to serve as support and provide assistance as needed for other administrative functions.
  • Assist with intakes, insurance verifications and payment processing.
  • Create and maintain accurate records/ receipts in the administrative venues.
  • Maintain current and accurate financial data per DoFS policy and procedure.
  • Receive and process incoming correspondence via mailbox and post office for incoming mail.
  • Apply postage to outgoing mail and deliver to post office.
  • Open and distribute inter-office mail and fax’s and distribute to local and satellite offices via inter-office mailboxes.
  • Maintain equipment, i.e., printer/fax machines and ensure adequate supply of operating materials.
  • Comply with SC OMH/ BHDD Corporate Compliance Plan and SWMHC Corporate Compliance policy, DoFS policy and procedure and all State, Federal and local laws.
  • Participates in drills to promote a safe environment for all patients and visitors to the clinic.
  • Assist with the completion of drill and Health and Safety reports
